Do you enjoy helping people, staying organized, and having variety in your workday? We are looking for a dependable, friendly, and detail-oriented DME Administrative Assistant & Supply Specialist to join our team.
Our office provides Durable Medical Equipment (DME), including electric stimulation devices, bracing, CPAP equipment, and related supplies. This is a hands-on position that combines patient service, administrative responsibilities, insurance coordination, and inventory management.
Previous experience in DME, healthcare, or working with health insurance is preferred, but we are willing to train the right person.
What You'll Do
- Answer phones, emails, and patient inquiries in a professional and helpful manner
- Greet patients and visitors and provide excellent customer service
- Assist patients with CPAP equipment and mask fitting
- Package, ship, and track DME and medical supplies
- Verify insurance coverage and assist with authorization requirements
- Explain insurance benefits and coverage to patients
- Follow up with medical offices regarding orders, paperwork, and documentation
- Enter and maintain patient and insurance information in our database
- Maintain accurate records in accordance with office procedures and HIPAA requirements
- Monitor inventory levels and help maintain organized supply areas
- Contact patients regarding equipment, supplies, paperwork, and follow-up needs
- Assist with day-to-day office operations and support other staff as needed
What We're Looking For
The ideal candidate is:
- Friendly, professional, and comfortable working directly with patients
- Organized and detail-oriented
- Reliable and able to manage multiple tasks and priorities
- Comfortable communicating by phone, email, and in person
- Familiar with health insurance processes and terminology
- Experienced in a medical or healthcare setting
- Familiar with DME, particularly CPAP equipment and supplies, a plus
- Knowledgeable about HIPAA and patient confidentiality
- Comfortable using Microsoft Office and computer-based databases
- Able to work independently while also being a supportive team member
- Bilingual in English and Spanish is a plus
