Medical Receptionist / Front Office Coordinator

Excel Physical Therapy is seeking a Medical Receptionist / Front Office Coordinator to help support our front desk operations, from warm patient check-ins to coordinating insurance verifications. We are looking for a dedicated professional interested in working 30–40 hours per week in our Oshkosh office. If you thrive in a smooth-running, friendly, fast-paced outpatient setting—with no nights or weekends—we’d love to meet you.
Job Responsibilities
- Patient Experience: Maintain a warm, welcoming, and efficient front desk area, delivering an exceptional first impression to patients, referral partners, and vendors.
- Scheduling & Phones: Answer incoming calls, respond to inquiries about services, and accurately manage the physical therapists' schedules.
- Insurance Coordination: Verify insurance coverage, manage prior authorizations, and clearly communicate insurance benefits and out-of-pocket costs to patients.
- Care Coordination: Help support seamless communication between physical therapists, physician offices, and insurance providers.
- Data & Records Management: Maintain and update patient accounts and electronic medical records with a high degree of accuracy.
- Practice Support: Assist with internal marketing projects and perform general administrative tasks to keep the clinic running smoothly.
Qualifications & Skills
- Customer Service: A heart for service with a proven commitment to delivering excellent customer care.
- Communication: Strong interpersonal skills, including active listening, and a professional, articulate manner on the phone and in person.
- Organization: Highly organized and efficient, with a demonstrated ability to accurately multitask and prioritize in a fast-paced environment.
- Tech-Savvy: Solid computer literacy, including strong keyboarding skills, high data-entry accuracy, and proficiency in MS Word and Excel.
- Education: Must have a high school diploma.
- Experience (Plus, but not required): Previous training/experience in a medical office setting or familiarity with medical terminology is helpful, but we are willing to train the right person who possesses the core organizational skills required.
Pay: $18.00 - $20.00 per hour
