TITLE: Construction Project Coordinator
JOB OVERVIEW: The Construction Project Coordinator provides direct project coordination and support to the construction project management team to ensure successful project development, management, and completion. Responsibilities include assisting with project planning, documentation, scheduling, contractor coordination, management of all furniture procurement, space planning, and departmental move coordination across the organization.
DEPARTMENT: Construction Management Department
WORK HOURS: Typically, Monday - Friday, 7:00 am - 3:30 pm or as necessary to meet departmental needs.
REPORTS TO: Director, Facilities Planning, Design and Construction
PREREQUISITES:
A high school diploma and minimum of four years of relevant experience in project coordination, construction support, facilities management, or a related field;
OR;
Proficiency with project management and procurement platforms (e.g., Smartsheet, Bluebeam, or equivalent); CAD experience (AutoCAD or equivalent) preferred for space planning tasks.
QUALIFICATIONS:
Able to work in a team setting and collaborate effectively with project managers, contractors, vendors, end users, and hospital departments.
Expertise and experience with personal computers and software such as Outlook, Excel, Word, and project management platforms.
UNIQUE PHYSICAL/MENTAL DEMANDS, ENVIRONMENT AND WORKING CONDITIONS: Regular and punctual attendance is a condition of employment. Physical requirements include having adequate vision and hearing to perform daily responsibilities. Being subject to considerable standing, sitting, stooping, kneeling and exposure to hazardous substances used in the course of work. Requires ability to maintain professional manner when dealing with employees and the public. Requires planning, organizing, and working on multiple tasks at one time. Driving to off-site locations may be required.
PERFORMANCE RESPONSIBILITIES:
Manage all hospital furniture, space planning, moving and relocation needs for all construction projects and standalone requests, including conducting field measurements and site assessments, developing basic furniture layouts using CAD or comparable tools, and coordinating with design consultants when project scope exceeds standard configurations or requires architectural review.
Manage all hospital furniture procurement needs, including new construction and renovation projects, department refresh requests, and one-off requests from across the organization.
Conduct site visits to observe construction progress, document field conditions, and report status to Project Managers; proactively identify and work to resolve any site issues that may impede project delivery.
Coordinate site access, phasing logistics, and infection control requirements (ICRA/ILSM) with contractors, facilities staff, and affected hospital departments.
Monitor all aspects of project execution to ensure timely contribution by team members, identify potential process bottlenecks, and collaborate with the project management team to resolve issues and maintain project progress.
May perform incidental project management including planning, research, analysis, and implementation of deliverables and action items.
Support Project Managers in preparing stakeholder communications, presentations, and project updates; coordinate with end user departments to gather input, confirm requirements, and communicate project impacts.
Manage vendor relationships and coordinate FF&E procurement, delivery, and installation activities, including lead time verification, order tracking, delivery scheduling, and installation oversight to ensure compliance with project requirements and order specifications.
