POSITION SUMMARY
We are seeking a dedicated Client Service Associate to join a growing, founder-led wealth management practice based in Deerfield, Illinois. Supported by an associate advisor focused on planning and operations, this role sits at the center of the client experience.
The Client Service Associate will serve as a primary point of contact for a select group of high-net-worth client households, managing service requests, account administration, and day-to-day operational processes. This allows the advisory team to focus on portfolio management, financial planning, and continued growth.
This role offers a unique opportunity to join an independent firm in an early stage of expansion, built on a long-standing foundation of client relationships. The position provides meaningful exposure across all aspects of the business, with clear potential for expanded responsibility and long-term growth as the firm scales.
KEY RESPONSIBILITIES
Client Service & Relationship Management
- Serve as the primary client-facing contact for account service requests, inquiries, and issue resolution
- Communicate proactively with clients regarding account activity, documentation needs, and upcoming reviews
- Build and maintain strong client relationships through responsive, detail-oriented service
- Prepare meeting materials, portfolio summaries, performance reports, and planning documents
Platform Operations – Fidelity Wealthscape
- Utilize Fidelity Wealthscape to manage account servicing, reporting, and client administration
- Process new account openings, account transfers, beneficiary updates, title changes, and maintenance requests
- Generate client-facing reports and consolidated household reporting
- Assist clients with portal enrollment, access, and troubleshooting
- Monitor pending transactions and workflow queues to ensure timely and accurate processing
- Coordinate with Fidelity service teams to facilitate complex requests
Account Administration & Operations
- Prepare and process account documentation, including transfer forms, Letters of Authorization (LOAs), and money movement requests
- Facilitate wires, ACH transfers, distributions, and other account transactions in accordance with firm policies
- Monitor account activity for errors, missing documentation, and compliance concerns
- Maintain accurate client records across CRM, custodial, and portfolio management systems
- Support the preparation and implementation of financial plans, investment proposals, and advisory agreements
Compliance & Risk Management
- Adhere to all applicable regulatory requirements and firm policies
- Ensure account documentation meets AML, KYC, and compliance standards
- Maintain current knowledge of industry regulations and complete required compliance training
- Support branch audits and documentation requests as needed
Team & Business Support
- Manage advisor calendars, schedule client meetings, and coordinate meeting logistics
- Prepare client review materials, meeting agendas, and follow-up items
- Support client events, marketing initiatives, and business development activities
- Assist with onboarding new client households throughout the Chicago area, ensuring a smooth and professional client experience
- Coordinate with custodians, internal teams, and third-party vendors to resolve service and operational matters
- Track outstanding client requests and help ensure timely completion of action items
- Identify opportunities to improve workflows, increase efficiency, and enhance the client experience
REQUIRED QUALIFICATIONS
- 5+ years of experience in wealth management, brokerage, or financial services
- Demonstrated experience supporting high-net-worth clients
- Proven ability to deliver a high-touch, concierge-level client experience
- Strong communication and relationship management skills
- High attention to detail with the ability to manage multiple priorities
- Experience using Fidelity Wealthscape or similar custodial platform
- Experience working with CRM and wealth management systems
- Ability to work on-site in Deerfield, Illinois
PREFERRED QUALIFICATIONS
- Experience in an RIA, wirehouse, or independent environment
- Experience using Advyzon or similar portfolio management/reporting platforms
- Experience in a small, high-performing or entrepreneurial team setting
- Series 65 or willingness to obtain over time

COMPENSATION & BENEFITS
We offer a competitive compensation package commensurate with experience, including:
- Base salary range: $80,000 – $110,000
- Annual performance-based bonus
