We are looking for an organized, detail-oriented Administrative Assistant to join our fast-paced team.
Position Summary
The Administrative Assistant plays a vital role in supporting our daily operations. This position serves as a central point of communication between customers, insurance companies, project managers, vendors, and field crews while ensuring jobs are accurately entered, scheduled, documented, and tracked from start to finish.

Responsibilities
- Answer incoming phone calls and provide outstanding customer service.
- Schedule appointments and assist customers with questions and job updates.
- Enter new jobs accurately into company software.
- Maintain organized digital job files and documentation.
- Coordinate dumpsters, portable toilets, storage units, and other job-related resources.
- Communicate with insurance carriers, agents, and adjusters to obtain claim information.
- Track estimate status and assist with estimate follow-up.
- Support project managers with scheduling, documentation, and administrative tasks.
- Ensure job information is accurate across company systems.
- Process emails, scan documents, and maintain office records.
- Assist with additional administrative projects as assigned.
Qualifications
- High school diploma or equivalent required.
- Previous administrative, office, customer service, or dispatch experience preferred.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Strong attention to detail and accuracy.
- Professional phone and customer service skills.
- Proficient with Microsoft Office (Outlook, Word, and Excel).
- Comfortable learning new software and technology.
Preferred Experience
Experience with restoration, construction, insurance, scheduling, or office management is a plus, but we are willing to train the right candidate.

Pay: $22.00 - $25.00 per hour
