Overview
We are seeking a dynamic and highly organized Office Administrator to join our team! Duties
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
- Operate and handle incoming calls efficiently and route messages accurately
- Maintain organized filing systems, both physical and digital, ensuring easy access to important documents
- Dispatching and assist with calendar management and scheduling appointments
- Perform clerical tasks such as proofreading documents, data entry, and preparing reports with accuracy
- Support bookkeeping activities using QuickBooks online or similar accounting software for invoicing and expense tracking. Quickbooks online familiarity preferred
- Provide exceptional customer service by supporting client inquiries via phone or email and ensuring positive interactions
- Support additional administrative projects including proofreading materials, managing mail distribution, and assisting with personal assistant duties as needed
Qualifications
- Proven office management experience with a strong background in administrative support roles
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks or other bookkeeping software is preferred
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Strong typing skills coupled with meticulous proofreading abilities
- Exceptional customer service skills with professional phone etiquette and multi-line phone system experience
- Prior experience in clerical work, data entry, filing, or medical/dental receptionist roles is prefferred
- Knowledge of office equipment such as printers, scanners, and fax machines along with computer literacy in general
- Strong time management skills to handle multiple responsibilities efficiently while maintaining attention to detail
