Position Summary
The MRO Operations Assistant provides administrative and operational support to OnFlight's Maintenance, Repair & Overhaul (MRO) department. Working closely with the VP of Maintenance/Director of Maintenance, Maintenance Supervisor, and other members of the maintenance team, this position assists with the administrative and logistical aspects of aircraft maintenance events while also supporting general office operations. The ideal candidate is highly organized, detail-oriented, service-oriented, and enjoys working in a fast-paced aviation environment.
Essential Responsibilities
Administrative Support
- Provide day-to-day administrative support to the VP of Maintenance/Director of Maintenance and Maintenance Supervisor.
- Prepare reports, spreadsheets, correspondence, and operational documents.
- Maintain organized electronic and paper records.
- Assist with special projects and other administrative duties as assigned.
Maintenance Operations Support
- Assist in preparing maintenance estimates and customer quotations using Corridor Business Suite.
- Support the creation and maintenance of work orders and related documentation.
- Assist with labor allocation and technician time tracking.
- Help coordinate maintenance scheduling and internal workflow.
- Assist with aircraft arrival and departure logistics.
- Support parts tracking and coordination as needed.
- Maintain accurate maintenance records and operational documentation.
- Assist in preparing invoices and maintenance event documentation.
Maintenance Communications
- Assist the maintenance leadership team with customer communications regarding maintenance scheduling, estimates, invoices, and aircraft status.
- Coordinate the exchange of documents and information between customers and the maintenance department.
- Assist with vendor communications, purchase follow-up, and delivery coordination.
- Help ensure customers receive timely, professional service throughout the maintenance process.
Office & Customer Support
- Answer, screen, and route incoming telephone calls in a professional and courteous manner, providing information and assistance for routine inquiries and directing specialized inquiries to the appropriate team member.
- Greet customers, vendors, and visitors upon arrival and ensure they receive a welcoming, first-class experience.
- Coordinate customer logistics, including rental cars, ground transportation, and other arrangements as needed.
- Maintain lobby area, customer lounge, break rooms, and other common areas to ensure they remain clean, organized, and well stocked.
Qualifications
- High school diploma required; Associate's degree preferred.
- Two or more years of administrative, customer service, office management, or operations experience.
- Aviation or maintenance industry experience is preferred but not required.
- Experience with Corridor Business Suite is a plus.
- Proficiency in Microsoft Office (Outlook, Word, Excel).
- Strong written and verbal communication skills.
- Excellent organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
