Job Summary
We are seeking a proactive and personable Front Office Receptionist to serve as the first point of contact for our patients and visitors. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a passion for delivering exceptional customer service. In this role, you will manage front desk operations, coordinate appointments, and support administrative functions to ensure smooth daily practice operations.
Duties
- Greet patients and visitors warmly, establishing a positive first impression of the practice.
- Manage multi-line phone systems efficiently, directing calls and providing accurate information.
- Schedule, confirm, and reschedule patient appointments using calendar management tools.
- Handle data entry tasks with precision, including updating patient records and processing billing information.
- Maintain organized filing systems for patient records, insurance documents, and office supplies.
- Provide excellent customer support by addressing patient inquiries promptly and professionally.
- Assist with office management duties such as supply inventory, document proofreading, and general clerical tasks.
- Utilize productivity software such as Microsoft Office and Google Workspace to facilitate daily operations.
Qualifications
- Prior office management or administrative experience in a healthcare or dental setting is preferred.
- Proficiency with computer literacy including Microsoft Office Suite, Google Workspace, and data entry software.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Excellent phone etiquette and customer service skills to foster positive patient interactions.
- Experience with multi-line phone systems, appointment scheduling, and calendar management tools.
- Bilingual abilities are a plus to effectively communicate with diverse patient populations.
- Knowledge of QuickBooks or bookkeeping experience is advantageous but not mandatory.
