Overview
The Staff Accountant is responsible for managing accounting operations, financial reporting, job costing, budgeting, and financial analysis for construction and real estate development projects. This role supports project profitability through accurate bookkeeping, budget tracking, forecasting, underwriting, and lender reporting while ensuring compliance with accounting and tax requirements. The ideal candidate has accounting experience in construction or real estate development, strong QuickBooks and Excel skills, and the ability to manage multiple priorities in a fast-paced environment.
RESPONSIBILITIES
Bookkeeping & Financial Operations
· Maintain full cycle bookkeeping using QuickBooks Online or similar U.S. accounting systems.
· Record all financial transactions accurately and in a timely manner.
· Maintain general ledger integrity and perform regular bank, credit card, and account reconciliations.
· Prepare monthly financial statements, including P&L, Balance Sheet, and Cash Flow reports.
· Support continuous improvement of accounting processes, internal controls, and financial reporting accuracy.
Project & Job Cost Accounting
· Maintain detailed job‑cost records for all town home and workforce housing construction projects.
· Track labor, materials, subcontractor invoices, equipment rentals, and approved change orders.
· Reconcile budget vs. actual costs and proactively flag variances to project managers and leadership.
· Support Work in Progress (WIP) reporting and percentage-of-completion calculations.
· Analyze project cost performance and identify risks or opportunities affecting project profitability.
Financial Analysis, Budgeting & Project Proforma
· Prepare and maintain detailed project proformas, including cost estimates, revenue projections, and cash flow forecasts.
· Develop and manage project budgets and ongoing financial forecasts for Georgia based developments.
· Perform sensitivity and scenario analysis (construction costs, pricing, interest rates, timelines).
· Evaluate project feasibility, IRR, ROI, and margin expectations for workforce housing initiatives.
· Assist in planning and tracking capital expenditures (Capex).
· Partner with leadership and project teams to monitor performance against budgets and proforma assumptions.
Underwriting & Financing Support
· Assist with underwriting analysis for new land acquisitions and development opportunities.
· Prepare financial packages for banks, private lenders, LIHTC partners (if applicable), and investors.
· Support construction loan draw requests, validating costs, progress, and required documentation.
· Analyze financing structures, borrowing costs, and lender covenant requirements.
· Collaborate with lenders, investors, and stakeholders throughout financing, reporting, and compliance processes.
Accounts Payable, Receivable & Invoicing Management
· Manage the full AP lifecycle, including collecting, reviewing, and coding with all vendor and subcontractor invoices.
· Ensure invoices are submitted and processed in time for month end close.
· Match invoices to purchase orders, verify pricing, and ensure accurate job cost coding.
· Manage subcontractor payments in accordance with Georgia lien laws, including lien waivers and compliance documentation.
· Respond to vendor inquiries and maintain strong vendor relationships.
· Notify vendors once payments have been processed.
· Prepare customer invoices, progress billings, and follow up on outstanding receivables.
· Reconcile supplier statements and resolve discrepancies.
Payroll & Timesheet Support
· Review and code weekly timesheets for field staff and trades.
· Support payroll processing in accordance with U.S. labor laws, Georgia state regulations, and federal tax requirements.
· Allocate labor costs to appropriate jobs and cost codes.
Month End, Reporting & Financial Oversight
· Prepare journal entries, accruals, and reconciliations for month end close.
· Deliver timely and accurate financial reporting packages to management.
· Provide variance analysis against budgets, forecasts, and proforma projections.
· Support cash flow monitoring and reporting for active construction projects.
· Maintain fixed asset registers and depreciation schedules.
Compliance, Tax & Documentation
· Ensure compliance with U.S. GAAP, Georgia tax rules, and construction specific accounting requirements.
· Support sales tax filings, 1099 reporting, and other tax compliance processes in coordination with external CPAs.
· Assist with audits, lender reviews, insurance reporting, and compliance documentation.
· Maintain organized digital and physical financial records.
· Manage the executive’s calendar, appointments, and daily schedule.
· Coordinate and book travel arrangements, including flights, hotels, rental cars, and itineraries.
Qualifications
· Diploma or degree in Accounting, Finance, or related field.
· 1-3 years of accounting and/or financial analysis experience; construction or real estate development experience required!
· Experience with job costing, financial modeling, proformas, or underwriting analysis is an asset.
· CPA track is a plus but not required.
· Proficiency in QuickBooks Online or similar accounting software.
· Advanced Excel skills (financial modeling, pivot tables, lookups, scenario analysis).
· Strong knowledge of sales tax, and construction lien requirements.
· Ability to build and interpret financial models and project proformas.
· Strong attention to detail and accuracy.
· Analytical mindset with the ability to interpret financial data and assess project viability.
· Ability to manage multiple priorities in a fast‑paced, project driven environment.
· Excellent communication and collaboration skills with internal teams, subcontractors, lenders, and external stakeholders.
· Strong problem-solving and critical‑thinking capabilities.
Work Hours: 9-5 pm in office
