Job Summary
The Post Award Grants and Contracts Specialist is responsible for managing the financial and administrative aspects of sponsored projects after funding has been awarded. This role ensures compliance with sponsor and institutional requirements throughout the award lifecycle, including budget management, expense monitoring, reporting, and closeout. The Specialist serves as a key resource for faculty and staff, providing guidance on regulatory requirements, financial processes, and documentation standards. Strong attention to detail, organizational skills, and the ability to manage multiple priorities are essential for success in this position. Occasional after-hours work may be required to meet reporting or sponsor deadlines.
Key Responsibilities

Set up and maintain awarded grant and contract accounts and budgets in institutional systems (CAYUSE and UT SHARE), ensuring accurate project and account configuration, complete documentation, timely processing of award modifications, and comprehensive post award record maintenance.

Review and monitor budgets and expenditures for allowability and compliance, and review and approve financial transactions—including payroll allocations, cost transfers, and procurement requests—in accordance with sponsor and institutional guidelines.

Coordinate with Pre Award staff to ensure smooth transition of awards from proposal stage to active project management.

Maintain up to date knowledge of sponsor regulations, funding agency requirements, and institutional policies, and continuously monitor these standards to ensure full compliance across all stages of the award lifecycle.

Provide responsive support to faculty and departments, addressing inquiries and resolving Post-Award issues promptly.

Assist in developing and delivering training sessions for faculty and staff on Post-award processes, financial management, and compliance requirements.

Collaborate with PIs, staff, and departmental administrators on award amendments, no cost extensions, and grant closeout activities.

Meet with faculty, administrative staff, and Grant Accounting at the start of each award and as needed throughout the grant lifecycle.

Maintain the production of necessary records and data for accurate and appropriate program/projects development and tracking.

Communicate with Administrative department, PIs, Administrative support and sponsors to ensure grant and university compliance.

Monitor subaward agreements by reviewing invoices, verifying deliverables, ensuring compliance with subaward terms, and coordinating amendments or modifications as needed.

Prepare financial and programmatic reports for sponsors and internal stakeholders, provide required documentation for internal and external audits, and track grant expiration dates and reporting deadlines to ensure accurate and timely submissions.

Support preparation of financial and progress reports required by sponsors, ensuring accuracy and timely submission.

Assist with system testing or updates related to CAYUSE, UT SHARE, or other grant management platforms.

Required Education/Experience

Bachelor’s degree in a related field.

Three (3) years of experience sponsored programs and contracts.

A combination of education and experience may be considered.
Preferred Education/Experience

Experience working with budgets.

Knowledge of PeopleSoft.

Familiarity submitting federal grants.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length. This position has the option to elect the Optional Retirement Program (ORP) instead of TRS, subject to the position being 40 hours per week and at least 135 days in length.

Clinical Position Requirements
