About the Position
An established, family-owned commercial construction company in the Waco area is seeking an experienced Director of Administration & Finance to oversee the administrative, financial, payroll, HR, and office functions of the business.
This is a senior management and oversight position for someone who understands both accounting and the construction industry.
We already have an existing bookkeeper who handles day-to-day bookkeeping, as well as an outside CPA who handles our annual tax preparation. This position will be responsible for managing the bookkeeper, reviewing the accuracy of the company's financial records, working with our CPA throughout the year, and ensuring our accounting and administrative processes are being handled correctly and on time.
The Director of Administration & Finance will work directly with ownership and manage several office employees. We are looking for someone who is capable of taking ownership of the administrative side of a small construction business and making sure the people, processes, and financial controls are working properly.
Minimum Qualifications
Candidates must have:
- 10+ years of professional accounting experience, including experience at the Staff Accountant level or higher
- 5+ years of experience working within the construction industry
- Strong understanding of construction accounting and job costing
- Experience managing or reviewing the work of bookkeeping/accounting personnel
- Strong knowledge of AIA pay applications
- Experience with lien releases, lien waivers, and construction payment documentation
- Strong understanding of accounts payable and accounts receivable
- Payroll knowledge and oversight experience
- HR and employee administration experience
- Experience managing and supervising employees
- Experience reviewing reconciliations and financial records for accuracy
- Strong organizational, communication, and problem-solving skills
- Strong Microsoft Excel and general computer skills
- Ability to work independently and maintain strict confidentiality
Construction industry experience is required for this position.
Accounting & Financial Oversight
The company has an existing bookkeeper responsible for day-to-day bookkeeping and an established outside CPA who handles annual tax preparation.
The Director of Administration & Finance will oversee the internal accounting function and ensure accurate, timely financial information is available to ownership.
Responsibilities include:
- Manage and supervise the company's bookkeeper
- Review the books regularly for accuracy and completeness
- Ensure bank, credit card, and other account reconciliations are completed correctly and on time
- Review accounts payable and accounts receivable
- Monitor cash flow and outstanding receivables
- Review job costing and project financial information
- Identify accounting discrepancies and ensure corrections are made
- Ensure transactions are properly categorized and recorded
- Maintain appropriate internal financial controls
- Ensure accounting procedures are consistently followed
- Work directly with the company's outside CPA throughout the year
- Provide requested financial information and documentation to the CPA
- Coordinate year-end financial information with the CPA for tax preparation
- Address accounting questions and recommendations from the CPA
- Help ensure the company's books remain clean and organized throughout the year
- Provide ownership with accurate and timely financial information
- Assist ownership in understanding the company's financial position
- Improve financial reporting and accounting procedures as needed
This is an accounting oversight and management position. The Director is not expected to perform routine daily bookkeeping or prepare the company's annual tax returns.
Construction Administration
This position will also oversee key administrative processes specific to the construction industry, including:
- Oversee AIA pay applications and construction billing
- Manage and verify lien releases and lien waivers
- Ensure required subcontractor and vendor documentation is complete
- Monitor construction-related administrative deadlines
- Maintain organized project, contract, and financial documentation
- Coordinate administrative requirements between project management, accounting, and ownership
- Help ensure project documentation flows properly between field operations, project management, and accounting
- Monitor outstanding documentation associated with project billing and payments
- Help maintain consistent administrative procedures across projects
Payroll & Human Resources
The Director will provide oversight of payroll and the company's day-to-day HR administration, including:
- Oversee payroll processing and verify accuracy
- Manage employee onboarding and offboarding
- Maintain employee and personnel documentation
- Oversee benefits administration
- Maintain confidential employee records
- Assist with company policies and procedures
- Help ensure required employment documentation is properly maintained
- Assist ownership with employee and HR matters
- Help maintain consistent company policies and administrative procedures
Office & Staff Management
A major part of this position is leadership and accountability.
Responsibilities include:
- Manage and supervise several office employees
- Establish clear responsibilities and expectations
- Hold employees accountable for completing their responsibilities
- Ensure administrative and financial deadlines are met
- Develop and improve office procedures
- Identify inefficiencies and implement solutions
- Improve communication between departments
- Maintain an organized and professional office environment
- Serve as a primary administrative point of contact between ownership and office personnel
- Help develop systems that allow the company to operate more efficiently as it grows
Who We're Looking For
We are looking for someone who has reached the point in their career where they can take ownership of a department rather than simply complete assigned tasks.
This is not a position for someone who needs to be given a daily task list.
The right person should be able to understand how the business operates, identify weaknesses, develop solutions, manage employees, and make sure things get completed correctly and on time.
You should be comfortable looking at financial information and asking questions when something doesn't look right.
You should have enough accounting experience to know whether the books are being maintained correctly without personally performing every bookkeeping function.
You should also be comfortable managing employees, enforcing deadlines, improving processes, working with project managers, communicating with our CPA, and working directly with company ownership.
We are looking for someone who can help ownership run the administrative and financial side of the business — not simply manage an office.
