The Administrative Associate provides comprehensive administrative and clerical support for the various departments of the Union Gospel Mission.
DUTIES AND RESPONSIBILITIES:
Under the supervision of the Office Manager. Will be assigned tasks by various staff members. Below are some key responsibilities. UGM management reserves the right to change or assign additional duties as needed.
- Clerical duties include typing letters, handwritten notes, email correspondence, answering phones, photocopying, scanning, filing, and ordering print and office supplies.
- Make daily trips to the post office, sorting mail, and various errands for UGM staff.
- Assist with opening mail, prepping, and depositing donations.
- Handle and distribute all mail items including large boxes for individual staff members or UGM.
- Print or order flyers, tracts, and Bibles, and distribute them in various locations of UGM.
- Maintenance of folder/inserter machine, printers, and stamp machine.
- Provide coverage for the receptionist during daily breaks and extended time off.
- Facilitate the Food Box distribution program as needed.
- Ensure administrative areas of the office are organized and tidy including the board/break room and supply room.
- Communicate with the janitor the cleaning needs of the administration building.
- Responsible for decorating the Mission on various holidays.
- Work with volunteers on designated volunteer days to complete tasks such as decorating the Mission or envelope stuffing.
- Assume responsibilities of absent team members as needed.
- Assist with UGM special events on evenings or weekends.
- If needed, occasionally assist with the Women’s Clothing Closet.
- October through January is our busiest time, and discretion should be used with time off.
- Provide mid-level donor support to the Development Department.
QUALIFICATIONS & SKILLS:
The following generally describes the knowledge and ability required to perform the job:
- Must provide a clear biblical testimony of a personal experience receiving the Lord Jesus Christ as Savior by faith and give evidence of His presence in daily living (Romans 6:13, Eph. 4:20-32, Phil 1:7-11, 3:7-10).
- Be a mature Christian with strong relational characteristics; loyal, patient, considerate, and teachable.
- Conform to UGM’s qualifications for employment and support the Statement of Belief, Vision, and Values outlined in the Employee Handbook.
- Adept at communicating and engaging with individuals ranging from those experiencing homelessness and poverty to major donors.
- Proficient in office work and computer skills with software programs such as Microsoft 365, Teams, Planner, Outlook, Word, Excel, and Google Docs.
- Competent in spelling and grammar with all types of business correspondence.
- Maintain confidentiality in maintaining critical and sensitive information.
- Establish and maintain cooperative and effective relationships with UGM Staff.
- Be dependable and consistent at work. Understand and follow instructions, respond to management directions, and solicit feedback to improve performance.
EDUCATION AND EXPERIENCE GUIDELINES:
- Education/Training: High school diploma or higher
- Experience: Previous administrative work experience.
PHYSICAL DEMANDS AND WORKING CONDITIONS:
- Environment: Work performed is primarily in a standard office environment with frequent interruptions. The noise level in the work environment is moderately busy.
- Physical: Functions require sufficient physical ability to work in an office setting; to stand or sit for prolonged periods; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light (up to 5 lbs) to moderate (up to 25 lbs) amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination, including use of a computer keyboard, folding and stamp machines; to verbally communicate and exchange information.
- Vision and Hearing: See and hear in the normal visual and audio range with or without correction.
