Gorman-Lavelle Corporation is seeking a professional, organized, and customer-focused Front Desk Receptionist / Administrative Assistant to serve as the first point of contact for our company. This position plays a vital role in providing exceptional customer service while supporting daily administrative and accounting functions. The ideal candidate is dependable, detail-oriented, and thrives in a fast-paced office environment.
Duties/Responsibilities:
Reception & Customer Service
- Greet and assist customers, vendors, and visitors in a professional manner.
- Answer and direct incoming telephone calls.
- Collect and document customer information for service requests, quotations, and general inquiries.
- Receive and distribute incoming mail and deliveries.
- Maintain a clean, organized, and welcoming reception area.
Administrative Support
- Provide administrative assistance to management and office staff.
- Prepare correspondence, reports, forms, and other documents.
- Scan, file, and maintain electronic and paper records.
- Order and maintain office supplies.
- Assist with company events, meetings, and special projects.
- Perform general office duties as assigned.
Accounting Support
- Assist with customer billing and invoicing.
- Process customer payments and maintain accurate records.
- Support accounts receivable collections and customer statement processing.
- Assist with data entry and document management within Foundation Software.
- Support payroll and other accounting functions as needed.
Customer Communication
- Respond to customer inquiries professionally and promptly.
- Coordinate communication between customers, field personnel, and office staff.
- Ensure customer information is accurate and complete.
Skills, Qualifications, Experience:
- High school diploma or equivalent (associate degree preferred).
- Previous receptionist, administrative assistant, or customer service experience preferred.
- Strong verbal and written communication skills.
- Excellent organizational and time management abilities.
- Ability to multitask and prioritize work in a fast-paced environment.
- Professional appearance and positive attitude.
- Proficiency with Microsoft Office (Outlook, Word, Excel).
- Experience with Foundation Software is a plus but not required.
