SERVPRO of LaGrange operates a portfolio of four franchise locations across the greater Chicago area - La Grange Park / North Riverside, Arlington Heights / Prospect Heights, Elmhurst, and Lombard / Addison. We are hiring a Payroll Administrator to own full cycle payroll processing.
The Payroll Administrator is responsible for the payroll processing ensuring accurate transactions, timekeeping practices, compliance with established company procedures, as well as State and Federal regulations all while maintaining a service-oriented demeanor and the integrity of payroll, HRIS, and employee data.
This position partners closely with Human Resources and Accounting, to ensure efficient payroll and HR processes.
RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:
Payroll Administration:
- Review weekly timecards for erroneous punches and validate locations match worksites.
- Process employee payroll-related changes, including direct deposits, tax withholding elections, deductions, and earnings adjustments.
- Administer wage garnishments, child support orders, tax levies, and other involuntary deductions.
- Record paid time off and maintain appropriate balances and attendance records.
- Process weekly payroll for exempt and non-exempt employees ensuring accurate calculations and processing of wages, overtime, bonuses, commissions, and other earnings.
- Process special payroll runs, off-cycle payments and other payroll-related transactions as required.
- Review and audit payroll data for accuracy and compliance with company policies and applicable laws.
- Respond to employee inquiries regarding pay, deductions, tax withholding, and payroll-related matters.
- Reconcile reports such as medical insurance payments, 401K deductions, etc to ensure accuracy of information.
- Prepare reports, filings, correspondence and other written materials, e.g. payroll reports, W-2’s, 941, etc. to provide written reference and comply with state & federal requirements.
- Performs all other payroll related duties as assigned.
Required Knowledge, Skills, and Abilities:
- High School Diploma required. Associate degree in accounting or similar business fields preferred.
- Strong working experience and knowledge in electronic time-and-attendance software.
- Previous QuickBooks experience preferred.
- Strong knowledge of federal & state payroll/tax related regulations.
- Good PC skills, including proficiency in MS Word and Excel.
- Excellent verbal and written communication skills (to respond to various inquiries and prepare written correspondence when needed).
- Ability to deal sensitively with confidential matters and be able to work with large quantity of complex data and information.
- Strong work ethic are required.
- Be able to work well under pressure to meet company deadlines.
