About Us
Smiley Dental is a fee-for-service practice in Rockville — "Dentistry with intention." Today, most of our patients come to us for family and general dentistry, and we're not a high-volume, insurance-driven office. We're also intentionally building toward a more cosmetic and esthetic-focused practice over time, so you'll see that shift happening in real time. Either way, we treat patients well and invest heavily in continuing education. Our team needs to match that standard — sharp, warm, and unflappable, even when the day gets busy.
The Role
We're hiring an Insurance & Patient Financial Coordinator to own the financial side of the patient experience — benefit breakdowns, claims, and out-of-network reimbursement — while also stepping into front desk and patient hospitality when needed. This is not a call-center insurance job. Today most of our patients are here for family and general dentistry, with a growing number pursuing cosmetic and restorative treatment as we build that side of the practice — so you'll need to handle both routine insurance work and higher-stakes financial conversations for out-of-pocket cosmetic cases. Either way, we need someone who can make those conversations feel easy, not transactional.
This role is roughly 70% insurance/financial coordination, 30% front desk support. If you're looking for a purely administrative check-in/checkout job, this isn't it. If you want ownership over a real function of the practice, keep reading.
What You'll Own
- Verify insurance benefits and prepare accurate, easy-to-understand breakdowns for patients before treatment
- Submit claims, track outstanding reimbursements, and follow up on unpaid or underpaid claims
- Handle pre-authorizations and narratives for complex or cosmetic-adjacent procedures (veneers, crowns, implants)
- Present treatment plans and financial options to patients with clarity and warmth — no hard-selling, just honest guidance
- Manage patient accounts, payment plans, and third-party financing (e.g., CareCredit)
- Step in at the front desk for scheduling, check-in/check-out, and phones during busy stretches or team gaps
- Be a genuine point of hospitality — greeting patients, easing nerves, making the office feel like somewhere people want to be
What We're Looking For
- 2+ years of dental insurance coordination or dental billing experience (required)
- Working knowledge of PPO fee schedules, CDT codes, and claims/EOB processes
- Comfortable having direct financial conversations with patients — confident, not pushy
- Genuinely good with people. You read a room, adjust your tone, and make people feel taken care of
- Organized and unbothered by a busy day — you can hold multiple things at once without dropping any of them
- Team-first mentality — willing to jump into front desk, scheduling, or wherever the day needs you
- Dental software experience (Dentrix, Eaglesoft, Open Dental, or similar) a plus
- Bonus: experience in a boutique, cosmetic, or fee-for-service practice
