Sutherland & KC Presses is an 80-year-old, family-owned manufacturer of mechanical, hydraulic, and servo press systems. We provide advanced metal forming solutions to the aerospace, defense, and industrial markets across North America. We recently opened a modern Educational & R&D Showroom in Ventura featuring up to 10 presses under power.
Position Overview
We are seeking a Service Operations Coordinator to serve as the primary administrative and operational support to our President as he leads the Service department. This is a key role for someone who is highly organized, detail-oriented, and skilled at managing the day-to-day administrative and operational functions that keep service running smoothly.
The Service Operations Coordinator will own critical processes including customer communications, QuickBooks parts quoting and inventory management, scheduling, reporting, and light project coordination.
This is an excellent opportunity for a proactive professional who enjoys being the central hub for service operations in a growing manufacturing company.
Key Responsibilities
Service Operations & Administrative Support
- Provide direct administrative and operational support to the President for all Service-related activities
- Manage calendars, scheduling, and the 2-week service calendar
- Prepare and distribute weekly service incident reports and monthly performance reports
- Maintain accurate records in the CRM and service documentation systems
- Track key metrics and drive accountability through organized documentation
Customer Communication & Coordination
- Handle professional customer email communications, including service intake, status updates, and follow-ups
- Use strong discovery and questioning skills to understand customer issues and needs
- Serve as a reliable point of contact to support high customer satisfaction
Parts, Quoting & Inventory Management (QuickBooks)
- Manage full-cycle service parts operations in QuickBooks, including quoting, sales orders, purchase orders, logistics, and delivery tracking
- Maintain accurate inventory records and support inventory optimization
- Ensure clean documentation and timely processing of all service-related transactions
Process Improvement & Project Support
- Help establish, document, and refine service processes, SOPs, and response protocols
- Leverage AI tools to improve efficiency and productivity
- Provide administrative and coordination support for new press installations, logistics, commissioning, and start-ups
Business Development Support
- Identify and document opportunities for I-PRESS retrofits, upgrades, parts sales, and PMP programs during customer interactions
- Hand off qualified leads cleanly to the sales team
Qualifications
Required:
- 3+ years of experience in administrative, operations, or service coordination roles (manufacturing or industrial equipment environment preferred)
- Strong proficiency in Excel (advanced functions, data tracking, and reporting)
- Strong proficiency in QuickBooks (quoting, sales orders, purchase orders, and inventory management)
- Excellent written communication skills and the ability to ask thoughtful discovery questions
- Experience with CRM systems and strong attention to documentation and data accuracy
- Comfortable and effective using AI tools (such as ChatGPT) to improve productivity
- Bilingual in English and Spanish (strongly preferred)
