Position Overview:
As a Veterinary Receptionist, you will play a critical role in ensuring that our clinic runs smoothly while providing exceptional customer service to clients, rescue partners, and volunteers. Your responsibilities will involve managing the reception area, assisting in the care of animals prior to appointments, coordinating services with rescue organizations, and handling payments from both rescue partners and regular clients. This is an ideal position for someone who is passionate about both customer service and animal rescue.
Key Responsibilities:
- Greet and check-in clients, including those bringing in animals from rescue organizations.
- Answer phone calls, schedule appointments, and provide information to clients about services.
- Process client paperwork, including intake forms for rescue animals.
- Assist in coordinating animal care, including coordinating with rescue partners for treatment schedules and foster care updates.
- Handle pet admission and discharge, ensuring all necessary paperwork is completed.
- Collect payments from clients for veterinary services, including both regular clients and rescues. This includes managing billing, providing receipts, and ensuring all transactions are accurately recorded.
- Work closely with veterinary staff to ensure smooth daily operations.
- Monitor the comfort and safety of animals in the waiting area, assisting with handling when necessary.
- Assist with inventory management and ensure the reception area is organized and welcoming.
- Provide excellent communication to ensure that all rescue groups are informed about the care and treatment of animals.
- Support fundraising or community outreach efforts for rescue-related initiatives as needed.
Qualifications:
- Previous experience working in a veterinary clinic or animal rescue setting is a plus.
- Strong customer service skills and ability to engage with diverse clients in a professional, empathetic manner.
- Ability to multitask in a fast-paced, dynamic environment.
- Familiarity with animal care, including willingness to learn basic knowledge of common treatments and medical terminology.
- Excellent organizational and time-management skills.
- Comfortable working around both domestic pets and rescued animals of varying temperaments.
- Ability to work collaboratively with a diverse team, including veterinary professionals, rescue groups, and volunteers.
- Experience handling payments, billing, and financial transactions in a professional setting.
