Position Overview
We are seeking a highly organized, proactive Office Manager to oversee day-to-day front office operations, support workflow efficiency, and help build strong administrative systems from the ground up.
Initially, you will be supporting a single, experienced physician, allowing for a more manageable pace and the ability to focus on doing things well rather than rushing volume.
You will be part of a lean, collaborative team consisting of one physician, one office manager, and one medical assistant, where each role is essential and has meaningful impact on both operations and patient experience.
Our practice is highly technology- and AI-integrated, so this role requires someone who is comfortable working with digital tools, adaptable to new systems, and eager to leverage technology to improve efficiency and patient care.
Key Responsibilities
- Manage daily front office operations including scheduling, patient intake, and check-in/check-out
- Oversee insurance verification and coordination with billing services
- Work within athenaOne (experience strongly preferred)
- Ensure accurate documentation and workflow within the EHR
- Coordinate communication between patients, providers, and external partners (labs, imaging, home infusion, etc.)
- Support prior authorizations and referrals
- Maintain office organization, supplies, and administrative systems
- Assist in developing and refining office workflows and protocols
- Contribute to building a welcoming, efficient, and patient-centered environment
Qualifications
- Prior experience in a medical office setting (preferred)
- Experience with athenaOne (preferred)
- Strong computer skills and comfort with technology and AI-driven tools
- Highly organized with strong multitasking ability
- Ability to work independently and problem-solve in a startup environment
- Excellent communication and interpersonal skills
- Familiarity with insurance verification, referrals, and prior authorizations (preferred)
- Experience in specialty care (infectious disease, wound care, or similar) is a plus

Compensation
- Competitive hourly rate based on experience
Pay: $35.00 - $45.00 per hour
