JOB TITLE: Sales Support Administrative Assistant
DEPARTMENT: Administration
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Greet all guests and visitors when they enter the lobby and guide them through the registration process
- Maintain and update visitor logs
- Answer incoming phone calls and route them to the appropriate people
- Receive, sort, and distribute all company mail
- Assist HR with employee engagement (company events, etc.)
- Coordinate internal/external appointments as required
- Provide assistance to the Inside Sales Manager and Director of New Business Development
- Assist in coordination and preparation of customer visits including booking conference rooms, creating meeting agendas, ordering food, and conference set up/clean up
- Sales/marketing administrative support duties include but not limited to:
- Data entry in EI’s ERP system including Sales Order Entry and Contract Amendments
- Finalize quote documents
- Update & maintain Customer Information List(s)
- Update & maintain marketing collateral such as PowerPoints, Brochures, company swag
- Schedule trade shows and assist with preparation for trade shows
- Packing slip and invoice reconciliation for sales and accounting
- Customer Tariff Processing and Invoicing
- Update Company social media as directed
- Always maintain a high level of confidentiality and professionalism
- All other duties as assigned by your supervisor/manager
QUALIFICATIONS/REQUIREMENTS:
- Computer proficiency required for Microsoft Office, Adobe experience a plus
- Excellent attention to detail
- Well organized, self-motivated, and problem-solving attitude
- Strong written and oral communication skills
- Ability to work in a fast-paced work environment
- Ability to multitask and prioritize
- Strong problem-solving skills
- Ability to work with a team or independently as needed
- Must be able to sit at a desk and work in front of a computer screen for up to 8 hours per day
- Must be able to read, write, communicate, and comprehend the English language
- Must pass a pre-employment drug screening test and criminal background check
- Must be able to meet all physical requirements as outlined in this position description
- Must follow all company policies outlined in the EI Microcircuits Employee Handbook of Personnel Policies
- Complete all orientation and training needs as written in policy
EDUCATION and/or EXPERIENCE:
- High school diploma
- 1 year of administrative/executive assistance experience
- 1 year of sales support experience
- Marketing experience a bonus
Pay: $20.00 - $24.00 per hour
