About the Role
We are looking for a highly organized and proactive Program Coordinator to support a complex global engagement involving teams across the US, India, and Europe.
Your job is to make multiple time zones feel like one coordinated program—keeping meetings organized, actions moving, communications clear, and operational details under control.
This is a hands-on coordination role for someone who takes ownership, follows through relentlessly, and is comfortable working across multiple teams, vendors, and stakeholders.
Key Responsibilities
- Coordinate meetings and schedules across US, India, and European time zones.
- Prepare agendas, capture meeting minutes, and maintain action-item trackers.
- Follow up with stakeholders to ensure actions are completed on time.
- Provide day-to-day program communications and coordination support.
- Support training logistics, including scheduling, participant coordination, materials, and follow-ups.
- Support change-management activities and communications.
- Coordinate with vendors and provide operational support for vendor-related activities.
- Maintain organized program documentation and communication records.
- Track deadlines, dependencies, and outstanding actions across workstreams.
- Help ensure information flows efficiently between geographically distributed teams.
- Provide administrative and operational support to program leadership as required.
Must-Have Qualifications
- 2–4 years of experience coordinating complex programs, projects, or executive operations.
- Demonstrated ability to manage multiple priorities and stakeholders simultaneously.
- Exceptional follow-through—you don't just track actions; you make sure they get closed.
- Strong written and verbal communication skills.
- Excellent organization and attention to detail.
- Comfortable coordinating across multiple time zones and regions.
- Ability to work independently in a fast-moving, multi-workstream environment.
Strong Plus:
- Portuguese language proficiency
- Previous experience supporting multi-region or global programs
- Experience coordinating teams across the US, India, and Europe
- Experience with training coordination or change-management activities
- Vendor coordination experience
