Position Overview
JR Ramon Demolition is seeking a highly organized, motivated, and dependable Administrative Project Coordinator to support our estimating and project management departments.
This is primarily an office-based administrative and clerical support position responsible for preparing and submitting official documents, monitoring important dates, maintaining accurate records, and helping ensure administrative requirements are completed correctly and on time. The position involves regular communication with general contractors, architects, government agencies, utility providers, and internal team members.
Accuracy, timeliness, and consistent follow-through are essential, as much of this work relates to regulatory notifications, utility coordination, permitting, contractor prequalifications, and formal bid submissions. The successful candidate will be capable of managing multiple time-sensitive assignments while maintaining a high standard of organization and professionalism.
Key Responsibilities
- Prepare and submit required 10-day demolition notifications to the Texas Department of State Health Services
- Submit and manage 811 and SAWS utility-locate requests, including required amendments and extensions
- Prepare and submit demolition permit applications and supporting documentation
- Occasionally visit project sites to obtain photographs required for permits and other official submissions
- Complete and submit general contractor prequalification packages
- Assist estimators by organizing and submitting required bid certifications, forms, and supporting documents
- Assemble and submit hard-copy bid packages when JR Ramon bids demolition projects as the prime contractor
- Address and transmit completed proposals through email, online platforms, mail, or hand delivery as directed
- Maintain reminders and notify estimators and project managers of important dates, including site walks, bid submissions, regulatory notifications, and other required actions
- Research and identify general contractors bidding specific projects by contacting architects, contractors, and other project representatives
- Maintain organized electronic records of permits, notifications, locate tickets, prequalifications, bids, and related correspondence
- Provide additional clerical and administrative support to the estimating and project management departments as needed

Preferred Qualifications
- Experience in a clerical, administrative, construction, or project-support role
- Proficiency with Microsoft Outlook, Word, and Excel
- Experience completing official forms, applications, and document submissions
- Familiarity with construction documents, permits, bid platforms, and notification systems
- Experience making professional phone calls to contractors, architects, agencies, and other project contacts
- Ability and willingness to make occasional visits to active project sites
- Current OSHA 10 or OSHA 30 certification
