We're looking for a highly organized, dependable, and professional Project Management Assistant to support our Project Management department.
This is an assistant role working directly under three Project Managers, providing daily administrative and organizational support. You'll receive direction and assignments from all three managers throughout the day, helping keep projects moving, customers informed, and our production department running efficiently.
We're a printed circuit board assembly (PCBA) company with approximately 40 employees. Our department is fast-paced, collaborative, and rarely has a slow day, consequently, this is not a passive office job. We're looking for someone who enjoys staying busy, takes initiative, can juggle multiple priorities, and finds satisfaction in helping an entire department succeed. If you like checking things off a list, solving problems, staying organized, and making yourself indispensable to a team, you'll likely thrive here.
Success in this role depends on your ability to stay organized while managing many small details throughout the day. You'll be supporting three Project Managers simultaneously, which means priorities shift regularly. The ideal candidate remains calm under pressure, communicates professionally, and enjoys being the person who keeps everything moving forward.
While we manufacture electronic products, no PCB/electronics experience is required. We'll teach you everything you need to know. What matters most is that you already have excellent computer skills, strong customer service experience, attention to detail, and an outstanding work ethic.
What You'll Do
This position serves as the administrative backbone of our department. Most of your day will be spent working in:
- Monday.com (Project Management Software)
- Google Sheets and Microsoft Excel
- Google Workspace
- Email and other computer-based software
Administrative & Project Support
- Provide daily administrative support to three Project Managers.
- Prioritize and complete assignments from other team members.
- Maintain accurate project information and documentation.
- Update spreadsheets and project records.
- Communicate professionally with customers and vendors by phone and email.
Logistics & Inventory Support
- Receive and process incoming shipments.
- Enter inventory into our systems accurately.
- Organize and kit materials for production.
- Create UPS, FedEx, and DHL shipping labels.
- Prepare shipping paperwork.
- Perform the daily UPS package drop-off.
- Organize inventory within our storage areas.

- Strong proficiency with Google Sheets and/or Microsoft Excel.
- Comfortable organizing, maintaining, and moving data between spreadsheets with a high degree of accuracy.
- Strong computer skills and the ability to quickly learn new software.
- Experience with Google Workspace.
- Exceptional attention to detail.
- Excellent organizational and time management skills.
- Ability to prioritize multiple projects in a fast-paced environment.
- Professional, friendly, and customer-focused communication skills.
- Positive attitude and willingness to help wherever needed.
- Strong work ethic and the ability to remain highly productive throughout the day.

- Reliable attendance and commitment to your agreed-upon schedule.
- Valid California driver's license, current auto insurance, and reliable transportation are required. Daily UPS drop-offs are a non-negotiable responsibility of this position.
- Ability to regularly lift up to 50 pounds and perform occasional bending, kneeling, and other physical tasks.
