- Manage multi-line phone systems efficiently, directing calls accurately and courteously
- Handle incoming correspondence, including emails, mail, and packages, with prompt attention
- Maintain organized filing systems and perform data entry tasks using productivity software such as Microsoft Office and Google Workspace
- Assist with appointment scheduling, calendar management, and basic office management duties
- Support clerical tasks including proofreading documents, managing records, and updating databases like QuickBooks or bookkeeping software
- Ensure office supplies are stocked and manage inventory to support daily operations
- Provide exceptional customer support by addressing inquiries promptly and professionally while maintaining excellent phone etiquette
Experience
- Proven experience in office administration or front desk reception roles, preferably in medical or dental settings
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
- Familiarity with multi-line phone systems and professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Previous experience with clerical duties such as filing, proofreading, and calendar management is preferred
- Personal assistant or medical receptionist experience is a plus but not required; training will be provided for specific responsibilities
