Purpose
We are seeking a highly organized and detail-oriented Administrative & Operations Coordinator to support China Operations within the Casualty business. This role will provide dedicated administrative and operational support to a US-based adjuster supporting China operations, while working closely with China-based stakeholders, clients, vendors, and operational leadership. The successful candidate will play a critical role in ensuring efficient claims administration, documentation management, trust accounting support, reporting, and stakeholder coordination. This position requires strong administrative and process management skills, excellent attention to detail, and the ability to work effectively across multiple time zones.
The role requires bilingual communication capabilities (English and Mandarin) to support collaboration between China-based stakeholders and US-based operational resources.
Key Accountabilities
Administrative & Operational Support
- Provide day-to-day administrative support to the China Operations team and assigned adjusters.
- Coordinate activities across China-based stakeholders and US-based operational resources.
- Manage operational trackers, action logs, reports, and process documentation.
- Support scheduling, meeting coordination, follow-ups, and stakeholder communications.
- Maintain accurate operational records and ensure timely completion of administrative activities.
- Assist with preparation of management reports, presentations, and operational updates.
Claims Administration & Coordination
- Coordinate and track claim-related documentation, information requests, and status updates.
- Follow up with adjusters, clients, vendors, and internal stakeholders on outstanding actions.
- Maintain accurate records of claim activity and supporting documentation.
- Support claim setup activities, data gathering, and operational reporting requirements.
- Assist in monitoring claim progress and escalating delays or exceptions where appropriate.
- Ensure timely and accurate maintenance of claim-related records and trackers.
Trust & Financial Administration
- Maintain bordereau records and client documentation, including trust account records where required.
- Process Incoming Funds Notices and Trust Disbursement Requests in accordance with established procedures.
- Review and validate expense reports for completeness and accuracy.
- Support invoice processing, fee note preparation, and billing administration activities.
- Assist with reconciliations, reporting, and operational finance support activities.
- Maintain supporting documentation to ensure compliance with operational and financial controls.
Reporting & Process Support
- Maintain operational dashboards, reports, and management trackers.
- Support data analysis and reporting using Microsoft Excel and other reporting tools.
- Ensure documentation standards and operational controls are consistently maintained.
- Identify opportunities for process improvement and support implementation initiatives.
- Assist in maintaining process documentation, standard operating procedures, and operational records.
Experience and Qualifications
Required
- 3–5 years of experience in administrative support, operations coordination, claims administration, or back-office operations.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent attention to detail and accuracy.
- Strong verbal and written communication skills in English.
- Fluency in Mandarin (written and spoken) is mandatory, as the role requires regular interaction with Chinese clients, stakeholders, vendors, and operational teams.
- Proficiency in Microsoft Excel, PowerPoint, Outlook, Microsoft Teams, and other business applications.
- Ability to work effectively with stakeholders across multiple geographies and time zones.
- Strong follow-up, coordination, and stakeholder management skills.
Preferred
- Experience in insurance claims management, loss adjusting, insurance operations, or professional services environments.
- Exposure to trust accounting, bordereau administration, invoicing, reconciliation, or finance support activities.
- Experience supporting international or multi-regional operations teams.
- Familiarity with operational reporting, data management, and process documentation.
- Experience working within a fast-paced, service-oriented environment.
Working Hours Requirement
- This role supports a US-based adjuster and operational stakeholders within the China Casualty business.
- Candidates must be willing to work a schedule 10AM - 7PM.
- Flexibility to support stakeholders across multiple time zones is essential.
