Position Summary
The Art Project Coordinator supports the Art Consultants and Senior Project Manager and Team Lead by managing the administrative and operational aspects of art projects from client approval through production, delivery, and installation. This role bridges creative development and fulfillment, ensuring projects move smoothly by translating approved project specifications into accurate orders, coordinating with vendors, and maintaining clear communication with customers and internal teams throughout the project lifecycle. The ideal candidate combines an appreciation for art and design with strong organizational skills and attention to detail.
Key Responsibilities
- Receive detailed project specifications from the Senior Project Manager and Team Lead and translate them into accurate orders, invoices, and purchase orders using MDC's order entry systems.
- Issue invoices to customers, communicate payment terms and deposit requirements, and coordinate with Accounting to confirm receipt of payments.
- Coordinate with Purchasing and vendors to confirm order placement, monitor production timelines, and obtain updated ship dates.
- Serve as the primary point of contact for transactional customer communications, including payment confirmation, production updates, and shipping notifications.
- Maintain accurate project records in CRM and project tracking systems, updating project status as orders progress through production, shipping, and delivery.
- Organize and maintain project documentation, including customer approvals, vendor communications, and order confirmations.
- Support the setup of new customer and vendor accounts through MDC's established onboarding procedures.
- Escalate technical or creative questions to Art Consultants and Art Project Managers when vendor or customer inquiries require subject matter expertise.
Preferred Skills & Competencies
- Bachelor's degree in Art History, Fine Arts, Interior Design, or a related field preferred.
- 1-3 years of experience in the art industry, such as art consulting, gallery operations, art handling, or commercial art programs. Experience with project coordination, order management, or customer service in a creative environment is preferred.
- Strong organizational skills with ability to manage multiple projects under deadline.
- Excellent written and verbal communication abilities.
- High attention to detail, particularly for order entry and documentation accuracy.
- Proficiency with Microsoft Office Suite; experience with CRM or order management systems is a plus.
- Ability to learn new software systems quickly.
- Genuine interest in art and design.

Pay: $45,000.00 - $60,000.00 per year
