Job Overview
The Facilities Manager is responsible for the physical upkeep, safety, and operational efficiency of Derbyshire Apartments, a residential apartment community in Frederick, Maryland. Reporting to the Property Manager, this role oversees all preventive and corrective maintenance, capital improvement projects, vendor relationships, regulatory compliance, and the day-to-day work of the maintenance team. The ideal candidate combines strong hands-on technical skills with the organizational ability to manage budgets, schedules, and personnel.
Duties
- Essential Duties & Responsibilities
- Maintenance Operations
- Plan, schedule, and execute all preventive maintenance programs to minimize equipment failures and emergency work orders.
- Respond to and resolve maintenance work orders timely; prioritize emergency and habitability issues.
- Perform and oversee repairs to HVAC, plumbing, electrical, appliances, roofing, common areas, and building exteriors.
- Conduct unit inspections at move-in, move-out, and periodic intervals; document conditions and prepare make-ready units efficiently.
- Maintain accurate records for all work orders, inspections, and asset tracking.
- Compliance & Regulatory
- Ensure the property meets all federal, state, and local habitability codes, including applicable housing assistance program requirements where relevant.
- Prepare for and support annual inspections, state housing agency reviews, and any compliance inspections.
- Maintain life-safety systems (fire extinguishers, smoke/CO detectors, sprinkler systems, emergency lighting) per code.
- Document and report environmental concerns including lead-based paint, asbestos, mold, and pest control.
- QualificationsBudget & Vendor Management
- Solicit bids, evaluate proposals, and manage licensed contractors and vendors for specialized repairs and projects.
- Identify capital improvement needs and provide recommendations and cost estimates to management.
- Team Leadership
- Hire, train, schedule, and supervise maintenance technicians, and groundskeepers
- Establish daily and weekly task assignments; monitor performance and provide coaching and corrective guidance.
- Ensure all team members follow OSHA safety standards, proper PPE use, and company safety policies.
- Foster a customer-service culture that treats all residents with dignity and respect.
- Resident & Community Relations
- Communicate clearly with residents regarding maintenance scheduling and updates; manage expectations professionally.
- Address resident concerns related to facilities promptly and document resolutions.
- Maintain the curb appeal and cleanliness of all grounds, common areas, amenities, and building interiors.Physical Requirements
- This position requires frequent standing, walking, bending, kneeling, and climbing ladders or stairs. The Facilities Manager must be able to lift and carry up to 50 lbs unassisted and work in both indoor and outdoor environments in varying weather conditions.
