THE ROLE
We are seeking a dynamic and highly organized Office Manager to oversee the daily administrative operations and ensure the smooth functioning of our office environment. The Office Manager is responsible for all aspects of office functionality, reception services, and general administrative support.
The ideal candidate will be proactive, detail-oriented, and possess excellent multitasking abilities to manage a variety of responsibilities.
RESPONSIBILITIES
- Ensure the smooth running of BAP Pharma office in Somerset, New Jersey
- Support the General Manager and Facilities Manager, as required.
- Manage office inventory, including kitchen stock, stationery, office equipment and furniture, manage costs and relationships with suppliers. Management of non-stock items, including packaging materials for the warehouse.
- General office admin tasks, including managing calls, post, meet and greet visitors
- Responsibility for onsite meeting rooms, ensuring rooms are always kept to a high professional standard and are set up/ready for use.
- Organise catering/refreshments as required
- Experienced in raising purchase orders (POs) and processing invoices.
- Support senior managers to ensure the site is maintained and secure at all times, working with external partners to maintain a high quality of work
- Ensure all employees receive training on office safety requirements
- Responsible for managing office facilities e.g. cleaners, general maintenance
- Work with our external travel partner to ensure new employees are set up and book travel, hotel accommodation, car rental and taxis for employees and visitors, as required
- Maintain client and supplier agreement files and other company confidential files
POSITION REQUIREMENTS
- Minimum 3 years' work experience in an office management capacity
- Excellent communication skills, both written and verbal
- Excellent use of MS office packages
- Ability to work on own or as part of a team
- Strong organization and prioritization skills
