Happy Homes TX LLC is a growing property management and hospitality company specializing in short-term, mid-term, and long-term rental management, property operations, cleaning, staging, and guest services.
We are looking for a highly organized, experienced Property Management & Financial Operations Manager to oversee the financial and administrative operations of our growing portfolio.
This is a hands-on management position for someone who takes ownership, catches problems before they become bigger problems, and can build systems that keep a fast-moving property management company organized.
The Role
The Property Management & Financial Operations Manager will oversee the day-to-day financial and administrative operations of Happy Homes.
This person will be responsible for ensuring that money is tracked accurately, owners and tenants receive accurate information, deadlines are met, documentation is correct, and the team follows established procedures.
You will manage and improve the systems behind our accounting and property-management operations while supervising and supporting administrative staff.
Key ResponsibilitiesFinancial Operations
- Oversee daily accounting operations and financial workflows
- Manage tenant rent collection and accounts receivable
- Ensure all rent payments are accurately recorded, documented, deposited, and reconciled
- Oversee owner statements and owner payouts
- Review accounts for discrepancies, missing payments, duplicate entries, and errors
- Manage accounts payable and vendor payments
- Oversee bank and credit-card reconciliations
- Maintain accurate records in QuickBooks Online
- Coordinate payroll and payroll-related documentation
- Assist with monthly financial close
- Prepare internal financial reports and operational reports for ownership
- Work with outside accounting/CPA professionals as needed
- Establish and maintain financial controls to protect company, owner, and tenant funds
Property Management Operations
- Oversee administrative property-management workflows
- Maintain accurate tenant and property records
- Coordinate lease preparation, execution, and distribution
- Ensure leases and sensitive documents are sent to the correct recipients
- Monitor lease expirations, renewals, notices, and required documentation
- Assist with tenant and owner communication
- Help resolve tenant account issues and payment discrepancies
- Maintain organized property files and documentation
- Ensure property-management systems are kept current and accurate
- Coordinate administrative follow-up on maintenance, turnovers, inspections, and property issues when needed
Team Management
- Directly supervise accounting and administrative staff
- Assign responsibilities and establish clear deadlines
- Review work for accuracy and completeness
- Train employees on accounting and property-management procedures
- Hold team members accountable for completing assigned responsibilities
- Identify workflow problems and implement solutions
- Create and maintain SOPs
- Establish systems that reduce mistakes and eliminate unnecessary manual work
- Communicate expectations clearly and professionally
- Escalate significant financial, tenant, owner, or operational issues to ownership
Quality Control & Accountability
This position is expected to find problems—not simply process paperwork.
The ideal candidate will routinely ask:
- Does the money in the system match the money actually received?
- Are all tenant payments accounted for?
- Are owner statements accurate?
- Are reconciliations completed?
- Are documents going to the correct people?
- Are deadlines being met?
- Are employees following procedures?
- What could go wrong, and how can we prevent it?
What We're Looking For
Required:
- Previous management or supervisory experience
- Accounting/bookkeeping experience
- Strong QuickBooks Online experience
- Excellent organizational and time-management skills
- Exceptional attention to detail
- Strong written and verbal communication
- Ability to manage multiple properties, accounts, deadlines, and employees simultaneously
- Strong problem-solving skills
- Ability to work independently and take ownership
- High level of confidentiality and professionalism
- Ability to identify and correct errors without constant supervision
Preferred
- Property management experience
- Real estate accounting experience
- Short-term rental or hospitality experience
- Experience with property-management software
- Experience managing owner statements and property-level accounting
- Experience with accounts receivable/payable
- Experience developing SOPs and internal controls

Success in This Position
Within the first 90 days, the successful candidate should be able to:
- Establish reliable accounting and payment-control procedures
- Bring outstanding accounting issues under control
- Create clear workflows for tenant payments and owner payouts
- Establish consistent reconciliation procedures
- Improve document and lease-management accuracy
- Create clear responsibilities for accounting/administrative staff
- Identify operational weaknesses and recommend solutions
- Reduce errors and the amount of financial/administrative work requiring other people's intervention
Compensation
Negotiable based on experience.
