Overview
We are seeking a dynamic and highly organized Project Coordinator for Water Treatment to join our team! This energetic role is essential in ensuring the smooth execution of projects from inception to completion. As a key member of our team, you will coordinate various project activities, communicate effectively with stakeholders, and keep all moving parts aligned and on schedule. Duties
- Assist in developing detailed project plans, timelines, and budgets to ensure timely delivery of objectives
- Coordinate meetings, prepare agendas, and document minutes to facilitate clear communication among team members and stakeholders
- Track project progress using productivity software and update project management tools regularly
- Manage multiple communication channels including multi-line phone systems and email to respond promptly to inquiries and updates
- Maintain comprehensive records through filing, data entry, and proofreading to ensure accuracy and accessibility of project documentation
- Support office management tasks such as calendar management, scheduling appointments, and organizing files for efficient workflow
- Provide exceptional customer service by supporting client needs, answering questions, and ensuring positive interactions at the front desk or via phone
Experience
- Proven experience in office management or administrative roles with a focus on project coordination or support functions
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and productivity software
- Familiarity with QuickBooks or bookkeeping experience is a plus for managing budgets or financial records
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Previous experience with data entry, clerical tasks, and customer support roles demonstrating attention to detail
- Bilingual abilities are highly valued to assist diverse teams and clients
- Experience working as a medical or dental receptionist or personal assistant is advantageous for handling sensitive information and managing schedules efficiently
