Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems to handle inquiries, schedule appointments, and relay messages promptly
- Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications
- Perform data entry tasks with accuracy, including updating records in QuickBooks and other office management software
- Support calendar management by scheduling meetings, appointments, and coordinating events efficiently
- Assist with bookkeeping activities such as invoicing, expense tracking, and basic financial record keeping
- Provide excellent customer support through courteous communication and timely responses to inquiries
- Proofread documents for accuracy and clarity before distribution or submission
- Handle clerical duties including photocopying, faxing, mailing, and managing office supplies
Qualifications
- Proven experience in office management or administrative roles with a strong background in clerical tasks
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Familiarity with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Strong computer literacy with the ability to adapt quickly to new software systems
- Bilingual abilities are a plus for supporting diverse client needs
- Previous experience as a receptionist or personal assistant is advantageous
- Knowledge of medical or dental receptionist procedures is beneficial but not required
- Exceptional phone etiquette and customer service skills to create positive interactions with clients and visitors
