Job Title: Branch Administrator & Commercial Support Job Summary:
We are seeking a highly organized, detail-oriented, and commercially-minded individual to join our team as a Branch Administrator. This role is critical for ensuring the smooth operation of the branch office while providing essential support to our recruitment and B2B sales initiatives in the staffing industry.
Responsibilities:
- Office Administration & Correspondence: Perform general administrative duties, including managing multi-line phone calls, professionally handling emails, and managing correspondence with candidates and clients.
- Sales & Client Support (B2B Focus):
- Assist the Sales Team with lead follow-up, client communications, and preparation of sales materials (proposals, presentations).
- Maintain and update the client database/CRM system to ensure accurate tracking of sales activity and client information.
- Recruitment & Candidate Management:
- Execute recruitment efforts, including posting online job advertisements, creating promotional flyers, screening initial applications, and scheduling interviews.
- Maintain and update applicant files and confidential records meticulously.
- Assist in the onboarding process for new employees.
- Reporting & Documentation: Prepare detailed reports, presentations, and other documents as required by branch management.
- Coordination & Logistics: Coordinate meetings, appointments, and travel arrangements for branch staff as needed.
- Inventory & Supplies: Assist with tracking inventory management and ordering office supplies.
- Corporate Liaison: Submit all necessary documentation and required reports to the corporate branch.
- Collaborate with other departments to ensure efficient communication and workflow.
Experience & Requirements:
- Bilingual Proficiency is REQUIRED (English/Spanish). Non-negotiable due to client and candidate interactions.
- Proven experience in an administrative or office support role, preferably within the staffing or a high-volume service industry.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational and time management skills; must be able to juggle multiple priorities effectively.
- Excellent verbal and written communication skills with a professional demeanor.
- Attention to detail and accuracy in work is paramount.
- Knowledge of basic accounting or billing principles is a strong plus.
- Previous experience in recruitment or sales support is a significant advantage.
