Job Overview
We are seeking an energetic and detail-oriented Senior Property Field Technician to join our property management team. In this vital role, you will oversee the maintenance, compliance, and operational efficiency of our residential rental, commercial, and 2nd home estate properties. Your expertise will ensure properties are well-maintained, Owner and resident needs are met promptly, and regulatory standards are consistently upheld. Duties
- Conduct regular inspections of properties and create regularly recurring inspection tasks to identify clients needs, hazards, and compliance issues, ensuring all work aligns with regulations and company/client expectations.
- Coordinate and oversee property repairs, preventative maintenance, and facilities management activities using property management tools including iPhone MacBook and task tracking software.
- Understand leases and HOA homeowner or rental agreement documentation, including lease renewals, amendments, and tenant communications.
- Assist Property Managers in budgeting processes by tracking maintenance expenses, preparing cost estimates, and optimizing resource allocation for property upkeep.
- Handle client communication with professionalism and clarity, receiving tenant inquiries related to property issues or leasing questions with excellent phone etiquette.
- Maintain accurate data entry records DAILY and documentation for WEEKLY reporting.
- Collaborate with team members on conflict management scenarios involving tenants or vendors to ensure swift resolution that maintains positive relationships.
Requirements
- Proven experience in property management or real estate administrative roles.
- Proficiency in property management software.
- Service with humility in high net worth environments.
- Perfect driving record.
- Pass credit check and enter privacy agreements with clients.
- Climb ladders up to 12 feet.
- Critical thinking to resolve short term problems while a larger solution is crafted.
- Open plaster walls for diagnosis, and use moisture meters.
- Conduct visits to mechanical rooms and understand what the components do.
- Strong knowledge of facilities management practices.
- Excellent communication skills with the ability to handle client interactions professionally via phone, email, or in person.
- Experience managing vendors in a property management setting is highly desirable.
- Competency in Microsoft Office Suite (Word, Excel, Outlook) for reporting and correspondence purposes.
- Valid driver’s license with the ability to travel between properties as needed; physical ability to perform inspections and maintenance tasks is essential.
Record Keeping
- Uses Appfolio after each task, without delay, to record time, text descriptions of observations and details, and photos of daily activities. This task is an hourly function that is critical to the position.
- Captures receipts for spending on issued company credit card for all transactions by submitting a record of every transaction with a receipt to the accounting department daily.
- Enters notes of activities of tenants, unit owners, vendors into the Appfolio for each site visit or occurrence of any activity or observation.
- Approves work completed and invoices in accordance with estimates, scope of work, budget, and schedule.
Routine Maintenance
- Responds to resident and client service/maintenance calls for routine problems on working days and immediately in emergency situations.
- Reviews electrical, plumbing, mechanical, and leak repairs for assignment to trade professionals.
- Plans for reduction of repair of depreciated assets and advises Client on necessity of capital improvements
Preventative Maintenance
- Reviews and advises Clients of the need for routine checks on equipment and hires and schedules trade professionals to perform prescribed maintenance on those systems.
- Creates recurring reminders for systems and municipal compliance requirements to ensure recurring needs of systems are on a scheduled, recurring basis to reduce downtime and are up to code.
- Develops scopes of work and ensures that those scopes are under service contracts and are complete, including approving invoices to be paid by the accounting department.
Breakdowns
- Maintains an emergency contact list of all vendors used on various equipment, systems and snow/ice removal.
- Is familiar with emergency shut offs for equipment and systems.
- Ensures that immediate corrective action is taken for emergency situations.
Client Interaction
- Meets with Clients by phone, text, email and video to expedite the exchange of information to clarify and update all parties affected by the current situation.
- Updates Clients of progress of projects or time sensitive activities that have a critical path.
- Organizes budgets and vendor quotes to transmit a confident and concise expectation of the Clients exposure to their property’s cost of operation.
- Delivers realistic explanation of possible outcomes to further the company’s mission of accurately predicting the worst case outcome, in order to deliver a better than planned product to the Client.
- Acts quickly on tasks to show that the company is not forgetful and keeps up with easy tasks by efficiently checking them off the list.
Availability
- Flexible on a salaried schedule that is autonomous and fair and equitable for all parties.
- Plans daily activities so that own schedule is possible, with a backup plan in case something goes wrong.
- Lives within an average of 15 minutes commute to the bulk of the managed locations.
- Plans meetings to ensure personal time is respected and overtime is not required.

Inspections
- Performs periodic inspection of Clients properties using both recurring work orders and follows up on agreed corrections.
- Conducts periodic preventative maintenance inspections.
Client Grounds
- Observes and ensures curb appeal and safety of Client grounds in accordance with each Clients contracted standards.
- Oversees contract lawn services.
- Performs/oversees snow removal from walks, steps, parking lots and roadways as necessary.
- Inspects walks, drives and parking areas and provides application of sand and salt as necessary.
- Oversees and coordinates snow/ice removal resources. Occasionally clears missed paths of high priority.
- Oversee Major/minor projects and check vendors work to ensure tidiness and that the job is completed. Relay communications to owners on progress if necessary with pictures.
Other
- Carries phone and responds promptly to incoming requests.
- Prioritizes communications with other members of our team to ensure the team is well connected before directing vendors and talking to client and residents.
- Occasionally performs handy work when time is of the essence and it is easier to just do the task than delay client satisfaction and chase others to do the task.
- Manages company vehicle maintenance schedule, washing, and appearance.
- Maintains weekly meetings in the office to go over the week of work orders.
- Checks in with the Office to assist on daily tasks when there is free time or during slow season.
Pay: $28.00 - $33.00 per hour
