Customer Care and Sales Support Coordinator
Reports to:
International Sales Manager
Position Summary:
The Customer Care & Sales Support Coordinator provides operational, administrative, and customer-facing support to the Customer Care and Inside Sales teams. This role is responsible for order processing, customer communication, sales coordination, international support activities, and cross-functional collaboration to ensure exceptional customer service and efficient order management.

Essential Functions:
- Process domestic and international customer orders accurately and efficiently
- Coordinate order acknowledgements, shipment updates, and customer communications
- Manage freight coordination and shipment tracking activities
- Assist with export documentation and international shipping requirements
- Coordinate Return Material Authorization (RMA) activities and customer follow-up
- Maintain accurate customer records and order documentation
- Support timely resolution of customer inquiries and order-related issues
- Support the Inside Sales team with quote preparation, order entry, and customer follow-up
- Assist with CRM management and customer information updates
- Monitor open quotes and support follow-up communication with customers and distributors
- Assist with large, complex, or strategic quotation activities as needed
- Support sales reporting and administrative activities
- Coordinate communication between customers, Inside Sales, and internal departments
- Partner with Customer Care, Inside Sales, Operations, Engineering, Manufacturing, and technical teams to support customer requirements
- Maintain professional, responsive, and timely communication with customers, distributors, and internal stakeholders
- Support continuous improvement initiatives related to customer service, workflow efficiency, and order management processes
- Assist with special projects and operational initiatives as assigned
- Proactively support Outside Sales Managers by managing customer inquiries, coordinating follow-ups, and ensuring timely and accurate responses that contribute to customer satisfaction and sales conversion
Skills/Qualifications:
- Minimum of 2 years of experience in customer service, order processing, inside sales support, or related business operations
- Strong organizational, communication, and problem-solving skills
- Proficiency with Microsoft Office applications, including Excel, Outlook, and Word
- Experience working within ERP and/or CRM systems (Sage ERP and HubSpot preferred)
- Ability to manage multiple priorities in a fast-paced environment
- Strong attention to detail and commitment to accuracy
- Ability to work collaboratively across multiple departments
- Customer Care or Inside Sales experience in a manufacturing or industrial environment
- International order processing and export documentation experience
- Experience supporting distributors, technical products, or engineered solutions
- Familiarity with freight coordination and logistics processes
- Performs other duties as assigned.
Physical Requirements:
