Patterson, Prince & Associates, PC is a reputable, well-established CPA firm dedicated to providing top-tier financial, tax, and accounting services to our clients. We are currently seeking an enthusiastic and organized office administrator to be the one of the first points of contact for our firm. This role also includes basic data entry at times for various staff members (payroll, accounting, tax, etc)
Job Schedule:
During tax season (Jan-April) expected hours would be 40 hours with potential overtime opportunities.
During regular season (May-Dec) expected hours would be 36 hours (off at 12:00 on Fridays).
Job Summary:
This individual will play a key role in ensuring smooth day-to-day operations of our front office. This individual will be responsible for managing phone calls, greeting clients, scheduling appointments, handling administrative tasks, performing basis data entry, and assisting with billing and collections. The ideal candidate is outgoing, detail-oriented, and thrives in a fast-paced environment.
Key Responsibilities:
- Greet and welcome clients and visitors in a friendly and professional manner.
- Answer and direct incoming phone calls efficiently.
- Schedule and coordinate appointments.
- Perfom light cleaning duties.
- Assist with billing, collections, and processing payments.
- Support the team by running errands as needed.
- Process incoming and outgoing mail and deliveries.
- Maintain office supplies and order replenishments as necessary.
- Assist with paying bills and other general administrative duties.
- Assist professional staff with data entry and project coordination
- Perform other tasks as assigned to support office operations.
Qualifications:
- Administrative training or education is a plus.
- Proven experience as a receptionist, administrative assistant, or in a customer service role.
- Excellent verbal and written communication skills.
- Friendly and professional demeanor with strong interpersonal skills.
- Highly organized with the ability to multitask and prioritize tasks effectively.
- Ability to work well under pressure and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
- Strong attention to detail and problem-solving skills.
