ABOUT THE ROLE
As an Operations Specialist, you will provide essential service and support, serving clients and technicians, managing processes, and contributing to and driving effective operations. This role requires someone who desires to grow, and can grow into a leadership role.
Responsibilities:
- Perform general administrative tasks such as helping cover phone calls, responding to emails, messages, and managing other correspondence in a timely manner.
- Help maintain office supplies and office inventory
- Assist with scheduling appointments and coordinating meetings
- Oversee scheduling and ensure there are no scheduling gaps or issues for technician routes.
- Prepare and distribute documents, reports, and presentations
- Conduct research and gather information as needed
- Assist with data entry and record keeping
- Provide customer support and address inquiries or concerns
- Coordinate events and assist with event planning
- Collaborate with team members on various projects
- Perform other duties as assigned by leadership.
REQUIRED SKILLS
Technical Skills:
- Proficiency in office software, including Microsoft Office Suite (Word, Excel, Outlook), and familiarity with HVAC Software .
- Basic understanding of HVAC systems, services, and terminology to effectively communicate with customers and technicians.
- Managing a funnel of jobs in various stages to ensure work orders move forward without delay.
- Typing proficiency at 45+ WPM.
Communication Skills:
- Strong verbal and written communication skills, with an ability to interact with diverse clients and team members in an efficient and professional manner.
- Customer-oriented attitude with the ability to handle difficult situations calmly.
- Follow up with vendors on warranty work completed.
Organization and Time Management:
- Excellent organizational skills, with the ability to prioritize tasks, manage time effectively, and keep track of multiple schedules and tasks.
- Attention to detail to ensure accuracy in scheduling, invoicing, and record-keeping.
Problem Solving and Initiative:
- Ability to troubleshoot minor issues related to scheduling, customer concerns, and inventory shortages.
- Proactive in identifying areas for improvement and suggesting solutions to increase efficiency in the office.
Multi-tasking:
- Comfortable handling multiple tasks at once in a fast-paced environment, with the ability to stay focused on each responsibility.
- Ability to pivot between tasks and systems and conversations without losing focus, information, or completing the tasks in a timely fashion.
Confidentiality and Professionalism:
- Discretion in handling sensitive customer information, financial records, and internal company data.
- Professional demeanor, both in person and over the phone, maintaining a positive image of the company.
Capacity for Leadership
- Previous people leadership experience a plus
