Position Overview:
The Human Resources Support Coordinator serves as the primary owner of recruiting coordination and candidate experience at Retina Specialists of Michigan, while also providing frontline employee relations support across clinical and administrative teams. This seat is the face of RSM’s talent acquisition process — ensuring every candidate and new hire experience a professional, consistent, and welcoming journey from first contact through offer acceptance. The Human Resources Support Coordinator partners closely with the Human Resources Manager on employee relations matters, helping to maintain a healthy, compliant, and people-first work environment aligned with RSM’s core values.
Responsibilities and Duties:
Recruiting Coordination & Candidate Experience
- Serve as the primary coordinator for all open positions, owning the recruiting workflow from job posting through offer acceptance.
- Post and manage job listings across approved platforms, ensuring accuracy and alignment with HR Manager-approved job descriptions.
- Manage candidate communications professionally and promptly, ensuring every applicant has a positive experience regardless of outcome.
- Schedule and coordinate interviews across hiring managers, clinical leads, and candidates with strong organizational precision.
- Conduct initial phone screens and application reviews for open positions; lead full-cycle recruiting coordination for entry-level and support seats, including screening and interviews, to maximize team efficiency and resource use.
- Maintain applicant tracking documentation and keep the HR Manager informed of pipeline status, candidate quality, and any recruiting concerns.
- Coordinate and complete pre-employment steps including reference checks, background screens, and new hire paperwork collection.
- Prepare and deliver offer communications in alignment with HR Manager-approved terms.
- Ensure a seamless and well-communicated handoff of new hires to the Workforce Development & Systems Coordinator for onboarding execution.
Employee Relations Support
- Serve as an accessible and approachable first point of contact for employees with questions, concerns, or workplace issues.
- Listen actively, document concerns accurately, and escalate to the HR Manager any matters requiring formal investigation or policy intervention.
- Support the HR Manager in conflict resolution, disciplinary processes, and employee counseling as directed.
- Assist in maintaining a workplace culture aligned with RSM’s core values: Show Respect, Do the Right Thing, Aim for Excellence, Be Curious, Elevate Each Other.
- Help identify patterns in employee concerns or morale and surface trends to the HR Manager for proactive response.
Onboarding Handoff & New Hire Support
- Coordinate the transition of accepted candidates to the Workforce Development & Systems Coordinator for onboarding logistics and systems setup.
- Serve as a touchpoint for new hires during their first days to ensure their experience is supported, and any early concerns are addressed.
- Assist with new hire announcement communications and coordinate nametags, recognition gifts, and welcome materials.
HR Administrative & Compliance Support
- Maintain accurate and confidential employee records in support of HR Manager-directed processes.
- Support benefits enrollment coordination and serve as a first point of contact for routine benefits and leave inquiries, escalating as needed.
- Assist with compliance tracking, documentation preparation, and audit-readiness activities as assigned by the HR Manager.
- Support exit process logistics, including scheduling, documentation coordination, and access removal steps in partnership with the Workforce Development & Systems Coordinator.
Employee Engagement & Internal Communications
- Execute employee recognition programs, milestone communications, and morale-building activities aligned with RSM’s culture and values.
- Coordinate employee announcements including new hires, work anniversaries, promotions, and life events.
- Support the HR Manager in reinforcing a positive and consistent employee experience across all RSM locations.
EOS & Metrics Accountability
- Track and report recruiting metrics including time-to-fill, candidate pipeline status, and offer acceptance rates.
- Maintain scorecards and dashboards supporting EOS reporting for the HR seat as directed.
- Participate in KPI, KBI, and SMART Goals initiatives aligned with EOS seat expectations.
- Attend staff and educational meetings as required.
- Respond to email communications in a timely and professional manner.
- Maintain compliance with RSM policies and procedures, including HIPAA and OSHA regulations.
- Perform other duties as assigned.

Minimum Education/Certification Requirements
- High school diploma or GED required.
- Must complete departmental certification as outlined by RSM’s certification policy. All expenses related to required certification are covered by RSM through its educational funding program.
Minimum Background Requirements
- Must have a minimum of 2 years of Human Resource experience within medical practice.
- Experience in ophthalmology preferred.
