The Production Coordinator supports the Jazz Club of Sarasota’s mission by coordinating the logistical, operational, and production-related needs of concerts, festivals, community programs, and special events. This role ensures smooth execution of artist services, volunteer coordination, venue preparation, and equipment management. The coordinator works closely with the President, visiting artists, volunteers, and venue partners to deliver high‑quality experiences for audiences and performers.

- Volunteer Coordination — Recruit, schedule, communicate with, and support volunteers for concerts, festivals, and special events. Maintain an updated volunteer roster and ensure adequate staffing for all production needs.
- Artist Rider Support — Review artist contracts and riders; coordinate hospitality, technical requirements, backstage needs, and any special requests. Serve as the primary liaison for visiting artists regarding logistics.
- Ground Transportation — Arrange and coordinate transportation for visiting artists, including airport pickups, hotel transfers, and event‑day travel.
- Storage Room Oversight — Maintain organized storage of Jazz Club equipment, supplies, and materials. Track inventory and ensure items are accessible and ready for deployment.
- Equipment & Supply Provision — Prepare, transport, and set up Jazz Club equipment, signage, merchandise, and supplies for events as needed.
- Venue Set‑Up & On‑Site Coordination — Coordinate venue layout, seating, staging, load‑in/load‑out, and event flow. Work with venue staff to ensure compliance with safety, accessibility, and technical requirements.
- Event Support — Provide on‑site operational support during events, troubleshoot issues, and ensure smooth execution of production elements.
- Administrative Coordination — Maintain schedules, production timelines, checklists, and communication logs. Assist with budgeting for production‑related expenses.

Qualifications & Experience
- Event Production Experience — 1–3 years in event production, performing arts administration, festival operations, or related fields.
- Organizational Skills — Strong ability to coordinate logistics, timelines, and multiple concurrent tasks.
- Communication Skills — Clear, professional communication with artists, volunteers, vendors, and leadership; ability to write concise emails, event notes, and schedules.
- Office Communication Skills — Proficiency in drafting emails, preparing basic reports, communicating event details, and maintaining organized digital records.
- Basic Computation Skills — Ability to perform simple budgeting, track expenses, manage inventory counts, and complete basic spreadsheet tasks (addition, subtraction, percentages, simple tables).
- Volunteer Coordination — Experience coordinating volunteers or teams preferred.
- Technical Familiarity — Basic understanding of sound equipment, staging, and event‑production tools (training can be provided).
- Physical Requirements — Ability to lift up to 40 lbs, transport equipment, and work evenings/weekends as needed.
- Transportation & Reliability — Valid driver’s license and reliable transportation.

Pay: $38,000.00 - $45,000.00 per year
