As we continue to scale, we're looking for a proactive and detail-oriented Office Administrator to join our back-office team and keep our operations runningsmoothly.
Job Summary:
We're hiring an experienced and organized individual to take charge of payroll support, IFTA/state tax filings, collections, and office admin duties. You'll be a key player in supporting our daily business operations while ensuring full compliance with state and federal regulations.
Key Responsibilities:
Payroll Support
- Assist in processing driver and employee payroll
- Maintain accurate records of hours, deductions, and reimbursements
- Help with driver settlements and reimbursements
Compliance & Tax Filing
- File IFTA, IRP, UCR, HVUT/2290, and other DOT-related paperwork
- Maintain up-to-date driver qualification files (DQFs)
- Monitor expiration dates for registrations, licenses, permits
Accounts Receivable & Collections
- Follow up with brokers/customers for outstanding payments
- Send invoices, PODs, and collection reminders
- Work with factoring company when needed
Administrative Duties
- Answer phones, respond to emails, and assist drivers
- Organize documents, manage office supply inventory
- Support dispatchers, safety manager, and other departments
Qualifications:
- Minimum 1-2 years experience in trucking, logistics, or transportation industry
- Strong understanding of IFTA, IRP, UCR, 2290 filings
- Experience with payroll systems and invoicing tools (e.g. QuickBooks, ADP, or similar)
- Organized, reliable, and able to handle multiple tasks with attention to detail
- Excellent communication skills - verbal and written
- Bilingual (English/Punjabi ) is a plus but not required
Schedule:
- Monday to Friday
- Full-time, 8 AM - 5 PM
- Occasional overtime or weekend availability preferred
