The Senior HR Specialist is an experienced human resources professional responsible for managing day-to-day HR operations across the employee lifecycle. This role serves as the primary administrator for recruitment, onboarding, HR systems, compliance, benefits administration, credentialing, and personnel records while providing guidance to employees and managers on routine HR matters.
Working under the direction of the HR Manager, the Senior HR Specialist ensures HR processes are completed accurately, timely, and in compliance with organizational policies and applicable employment laws. This position also supports audits, reporting, and continuous process improvement to enhance the employee experience and organizational efficiency.
Key Responsibilities
Recruitment & Onboarding
- Manage full-cycle recruitment, including job postings, candidate screening, interview coordination, reference checks, and offer preparation.
- Coordinate pre-employment requirements, including background checks, drug screens, motor vehicle record (MVR) checks, credential verification, and required documentation.
- Facilitate onboarding to ensure new employees complete all required employment paperwork, training assignments, and compliance requirements.
- Monitor onboarding progress and partner with department managers to ensure a smooth transition into employment.
HR Operations & Employee Lifecycle
- Maintain accurate employee records within BambooHR and other HR systems.
- Process employee status changes, promotions, transfers, compensation updates, and terminations.
- Maintain job descriptions, organizational charts, and HR documentation.
- Coordinate offboarding activities, including exit documentation, benefit notifications, and system access requests.
- Respond to employee questions regarding HR policies, benefits, payroll, and employment procedures.
HRIS Administration & Reporting
- Serve as the primary administrator for BambooHR and other HR platforms.
- Maintain employee data integrity and ensure accurate recordkeeping.
- Generate HR reports related to staffing, turnover, onboarding, compliance, training, and other workforce metrics.
- Assist the HR Manager by identifying trends and preparing reports for leadership.
Compliance, Credentialing & Audits
- Maintain compliance with federal, state, and local employment regulations.
- Coordinate personnel file audits to ensure required documentation remains current.
- Monitor expirations and renewals for licenses, certifications, CPR, driver's licenses, background checks, and other compliance requirements.
- Assist with internal and external audits by preparing documentation and reports.
- Support credentialing, payer enrollment, and provider compliance activities as assigned.
Benefits & Leave Administration
- Coordinate employee benefit enrollments, qualifying life event changes, and annual open enrollment.
- Serve as the first point of contact for routine employee benefit questions.
- Assist with leave administration, including FMLA, ADA accommodations, workers' compensation, and other leave programs.
- Maintain accurate benefit records and communicate required deadlines to employees.
Employee Relations Support
- Provide guidance to managers and employees regarding routine HR policies and procedures.
- Prepare documentation for coaching, performance improvement plans, disciplinary actions, and employee meetings.
- Escalate complex employee relations matters, investigations, legal concerns, and high-risk situations to the HR Manager.
- Promote consistent application of organizational policies and HR best practices.
Training & Organizational Support
- Coordinate required employee training through Relias and other learning platforms.
- Monitor training completion and compliance requirements.
- Assist with employee engagement initiatives, recognition programs, and organizational events.
- Recommend improvements to HR processes and administrative workflows.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred, or equivalent experience.
- SHRM-CP certification preferred or ability to obtain within an established timeframe.
- Minimum of 3 years of progressive Human Resources experience.
- Experience in healthcare, behavioral health, or another regulated industry preferred.
- Strong working knowledge of employment laws and HR best practices.
- Experience administering HRIS platforms, preferably BambooHR.
- Experience with benefits administration, onboarding, personnel records, and compliance.
- Excellent organizational, analytical, and problem-solving skills.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite and HR technology platforms.
- Ability to manage multiple priorities while maintaining confidentiality and attention to detail.
