Position Summary
The Customer Service & Field Coordinator serves as the primary point of contact for clients, caregivers, referral sources, and community partners. This role is responsible for delivering outstanding customer service, coordinating field operations, conducting client and caregiver visits, supporting scheduling and staffing needs, resolving service concerns, and helping ensure quality care is delivered in accordance with company policies and regulatory standards.
This position plays an essential role in maintaining positive relationships with clients and employees while supporting the daily operational needs of the Nettie Mae Berry Foundation.
Key ResponsibilitiesCustomer Service
- Serve as the primary contact for clients, families, caregivers, referral sources, and community partners.
- Answer incoming phone calls, emails, and inquiries professionally and promptly.
- Address client questions, concerns, complaints, and service requests.
- Follow up with clients to ensure satisfaction with services.
- Maintain accurate and confidential documentation of all client communications.
Field Coordination
- Conduct routine client home visits and wellness checks.
- Perform caregiver supervisory visits and field observations.
- Ensure caregivers provide quality care according to each client's care plan.
- Monitor client satisfaction and identify opportunities for service improvement.
- Report concerns to management promptly.
- Assist with resolving service issues in the field.
- Support new client admissions and service start-ups.
- Build positive relationships with clients, families, caregivers, and referral partners.
Scheduling & Staffing Support
- Assist with scheduling caregivers and filling open shifts.
- Communicate schedule changes to clients and caregivers.
- Coordinate call-offs and emergency staffing needs.
- Monitor staffing coverage and notify management of shortages.
- Help match caregivers with client needs.
Administrative Support
- Maintain accurate client and employee records.
- Prepare reports and required documentation.
- Assist with intake paperwork and maintaining client files.
- Ensure documentation is complete, accurate, and compliant.
- Maintain confidentiality of all client and employee information.
- Provide general office and administrative support.
Quality Assurance & Compliance
- Monitor service quality and client satisfaction.
- Ensure employees follow company policies and procedures.
- Report incidents, complaints, and concerns according to company policy.
- Assist with compliance audits and quality improvement initiatives.
- Maintain confidentiality in accordance with HIPAA and company standards.
Community Relations
- Develop relationships with hospitals, physicians, rehabilitation facilities, assisted living communities, case managers, social workers, and community organizations.
- Represent Nettie Mae Berry Foundation professionally at networking events and community activities.
- Assist with marketing and community outreach initiatives.
General Operational Support
- Assist leadership with special projects.
- Support hiring, onboarding, and orientation activities as needed.
- Assist with employee communication and engagement.
- Help coordinate meetings and training sessions.
- Support company events and community outreach.
- Perform other duties as assigned.
Qualifications
Required
- High school diploma or GED.
- Valid driver's license, reliable transportation, and proof of automobile insurance.
Preferred
- Two (2) years of experience in customer service, healthcare, home care, or administrative support.
- Experience with scheduling, staffing coordination, client relations, or field supervision.
- Proficiency with Microsoft Office and scheduling software.
