Job Summary
As our Medical Receptionist & Patient Coordinator, you will serve as the face of the clinic. You will manage front-office operations to ensure a smooth, organized flow of patients. The ideal candidate will combine administrative excellence with a calm, supportive demeanor to help ease patient anxiety and facilitate a positive healing environment.
Key Responsibilities:
1. Patient Navigation & Experience
● Supportive Triage: Greet patients with genuine empathy, recognizing the physical and emotional distress associated with chronic pain.
● Flow Management: Monitor waiting areas and provider schedules to minimize wait times; proactively communicate delays to patients.
● Intake Excellence: Guide patients through filling complex intake and consent to treat.
2. Specialized Clinical Support
● Referral Management: Coordinate incoming referrals from primary care physicians and specialists, ensuring clinical notes are uploaded prior to consultations.
● Prior Authorizations: Assist the billing team by obtaining initial authorizations for procedures (injections, imaging) and verifying insurance coverage for specific treatments. ● Prescription Routing: Strictly follow clinic protocols for routing refill requests and pharmacy inquiries to the clinical team to maintain safety standards.
3. Administrative & Financial Operations
● Dynamic Scheduling: Manage a high-volume multi-line phone system, prioritizing urgent patient needs while optimizing the provider calendar.
● Financial Integrity: Collect co-pays, deductibles, and outstanding balances at the time of service; maintain a balanced cash drawer.
● Compliance: Maintain strict adherence to HIPAA regulations and the organization's "Principle of Least Privilege" regarding patient data. Requirements & Qualifications
Experience:
1–2 years in a medical front-office setting (Pain Management or Orthopedics preferred).
Education:
High School Diploma or equivalent; Medical Office Administration certification is a plus.
Technical Skills:
Proficiency in Electronic Health Records (EHR) and Microsoft Office.
Compliance:
Successful completion of a criminal background check and professional license verification is required prior to hire.
Physical & Environmental Requirements
● Ability to remain in a stationary position for extended periods.
● Capability to handle a fast-paced environment with frequent interruptions and high call volumes.
Company Policies & Indiana Labor Standards
● At-Will Employment: In accordance with Indiana law, employment with Aberdare Health & Pain Medicine is "at-will," meaning either the employee or the employer may terminate the relationship at any time, with or without cause.
● Time Off: Employees accrue Paid Time Off (PTO) according to tenure. Planned time off requests require at least two weeks' notice.
● Attendance: Reliable attendance is critical for patient care. Unforeseen absences must be reported to a supervisor at least two hours prior to the start of a shift. ● Confidentiality: All staff must sign a HIPAA Confidentiality and Security Affirmation, acknowledging their legal duty under Indiana Code § 16-39 to protect patient data.
Pay: From $21.00 per hour
