Overview
Front Counter Sales & Dispatcher
The Front Counter Sales & Dispatcher is responsible for delivering exceptional customer service, supporting daily branch operations, and coordinating driver activities to ensure accurate, timely, and efficient order fulfillment. This role serves as a key connection point between customers, drivers, purchasing, and warehouse operations. Responsibilities include front counter sales, dispatching, order processing, inventory support, freight handling, and maintaining a clean, organized facility.
Key Responsibilities
Customer Service & Sales Support
Front Counter Operations- Assist walk in customers, provide product support, swap cylinders, and fill propane.
Order Processing- Enter customer orders, process payments, create scheduled orders, and ensure accurate documentation.
Customer Communication- Field incoming calls, answer product questions, call customers regarding deliveries, and resolve issues promptly.
Sales Assistance- Generate quotes, support sales initiatives, and pull customer orders for pickup or delivery.
Dispatching & Driver Coordination
Daily Dispatch Management- Coordinate driver routes, communicate schedule changes, and ensure efficient delivery planning.
Driver Support - Process driver notes and completed orders; fill in for drivers when needed to maintain service continuity.
Schedule Execution- Print and distribute daily delivery schedules and ensure drivers have accurate, complete information.
Warehouse, Freight & Inventory Management
Freight Handling -Load and unload freight as needed; receive incoming transfers and shipments.
Transfer Processing- Process outgoing transfers and maintain accurate records.
Stocking & Organization- Stock shelves, maintain product displays, and support warehouse organization.
Inventory Coordination- Work closely with the purchasing coordinator to manage inventory levels, reconcile discrepancies, and support purchasing needs.
Safety & Compliance
Safe Work Practices- Follow all company safety policies and procedures, including proper handling of propane and industrial gases.
Regulatory Awareness- Support compliance with OSHA, DOT, and company standards through safe operations and accurate documentation.
Incident Support- Report hazards, assist with corrective actions, and maintain a clean, safe work environment.
Facility & Maintenance Responsibilities
General Housekeeping- Perform light cleaning, take out trash, restock bathrooms, and change HVAC filters.
Facility Organization- Maintain a clean, organized front counter, warehouse, and customer facing areas.
Qualifications
Strong customer service and communication skills
Ability to multitask in a fast paced environment
Basic computer proficiency (order entry, payment processing, scheduling)
Ability to lift and handle freight/materials
Comfort working with propane, cylinders, and industrial products (training provided)
Reliable, organized, and team oriented
Language Skills:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before customers or employees of the company.
Mathematical Skills:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
