Summary
Provides administrative support for Training and Development Solutions (TDS) and invoicing support for WCCE Registered Apprenticeship programs. Ensures the overall organization, accuracy, and maintenance of data, files, purchasing records, and course information using the Colleague database system. Assists supervisor with course implementation by preparation of class materials and classroom maintenance. Administer all TDS open enrollment courses including assisting students in registering for classes, responding to all telephone inquiries.
Essential Role Responsibilities
- Serves as the first point of contact at the TDS Gateway campus office and provides timely responses to all inquiries.
- Provides courteous and informed customer service for students by assisting with student registration, transfers, drops, and course information. Responds to student inquiries in a timely fashion.
- Supports the TDS Contracts Unit by entering all courses and financial data into the Colleague database system and maintaining up-to-date knowledge base of the Colleague system by attending on-going training.
- Provides all TDS course-related administrative duties which includes but is not limited to: processing Course Summary Sheets, which includes management of all course, student, and financial information, preparing and producing course materials for all courses and ensuring delivery prior to start of a course, accommodating any specific course delivery requirements such as room scheduling, monitoring enrollments (including on-line courses), responding to instructor needs, processing certificates, course cancellations, book orders and inventory, and room changes, processing paperwork for all courses and instructors in a timely manner after each course including distributing, monitoring, collecting, and analyzing data from course evaluations, working with vendor partners to enroll students, and serving as technical assistant for virtual contract training courses as needed.
- Assists WCCE Registered Apprenticeship programs with invoicing and administrative support, including email management and Colleague support.
- Assists with the preparation and processing of documents, including certificates of completion, and other correspondence as assigned.
- Prioritizes multiple project assignments, applies a high degree of accuracy and efficiency.
- Maintains all contract data and course files in accordance with retention policies.
- Provides reports on course data as requested.
- Communicates effectively with clients, instructors, and all levels of individuals within the college and the community, and respond knowledgeably to inquiries about TDS programs.
- Orders/maintains inventory of office and instructional supplies for TDS Contracts Unit.
- Provides general office support.
- Performs other duties as assigned.
Minimum Education Required
High School or equivalent
Experience Required
- High school diploma; AA Degree preferred.
- At least two years of experience in an office environment requiring excellent technical, organizational, interpersonal, and problem-solving skills.
- Excellent attention to detail required.
- Demonstrated office experience with emphasis on data entry, record keeping, general clerical skills, office procedures and organization.
- Proficient in Microsoft Office Suite required.
- Experience with virtual platforms including Zoom and MS Teams preferred.
- Experience in using Colleague preferred.
- Experience in higher education preferred.
- Knowledge of audio-visual equipment is desirable.
OTHER REQUIREMENTS
- Ability to communicate effectively, both verbally and in writing.
- Regular attendance is a requirement of this job.
- Must maintain strict confidentiality and use good judgment in dealing with clients, instructors, and all levels of individuals within the college and the community.
- Performs all duties while considering the impact of any actions on the college’s sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.
