Real Estate Transaction Coordinator — Residential Sale-Leaseback (Contract to Close)

We're a fast-growing residential real estate platform specializing in sale-leaseback transactions, connecting homeowners seeking liquidity with single-family rental investors. We operate in 30+ states and have closed 200+ transactions. Our deal volume is growing, and we need a world-class Transaction Coordinator to keep every file moving from contract through closing — and beyond.
This role is critical to increasing our speed, improving communication, and getting more deals across the finish line.
The Role
You'll be assigned files to close and will own each one from executed contract through funding and post-closing follow-up. You'll support our Investor Advisors throughout the closing process and report to our Closing Coordinator. For every file assigned to you, you'll be the central point of coordination between title companies, attorneys, lenders, sellers, buyers, and investors — proactively resolving issues before they become obstacles.
Responsibilities
- Manage assigned residential transaction files from contract through closing, handling multiple files simultaneously
- Coordinate inspections, title work, payoff requests, leaseback documentation, investor assignments, closing schedules, funding timelines, and post-closing follow-up
- Navigate and resolve title issues, title remediation, payoff coordination, probate, foreclosure, liens, and other closing-related challenges
- Communicate constantly with all parties — sellers, investors, title, attorneys, lenders — and follow up relentlessly until items are resolved
- Anticipate problems before they happen; escalate early, never sit on an issue
- Keep CRM records, checklists, and file documentation accurate and up to date at all times
- Support Investor Advisors throughout the closing process and keep them informed on file status
- Report to the Closing Coordinator with regular, accurate status updates on every assigned file
- Collaborate closely with Seller Managers, title companies, attorneys, and our leadership team
- What We're Looking For
- Proven experience managing residential real estate transactions from contract to close (title company, closing coordination, TC, or paralegal background strongly preferred)
- Deep familiarity with title issues and remediation, payoffs, probate, foreclosure, liens, and distressed-property closing challenges
- Exceptional communicator — clear, professional, persistent; you keep everyone informed without being asked
- Extremely organized and detail-oriented — nothing falls through the cracks, ever
- Tech-proficient — CRMs, e-signature platforms, spreadsheets, communication tools; quick to learn new systems
- Thrives in a fast-paced, constantly evolving environment — you embrace change rather than resist it
- Calm under pressure — you think critically and solve problems independently
- Strong sense of urgency and ownership — you anticipate issues instead of reacting to them
