About the Role
The Executive Assistant to the CEO provides high-level administrative and logistical support directly to the CEO, managing a demanding calendar, coordinating travel and meetings, and handling confidential information with sound judgment. This role also includes driving responsibilities — running errands, transporting documents or materials between sites, picking up/dropping off guests, and occasionally driving the CEO to meetings or appointments — so a clean driving record and reliable availability are essential.
Responsibilities
- Manage the CEO's calendar, scheduling and prioritizing meetings, calls, and appointments
- Coordinate domestic travel arrangements, including flights, hotels, and itineraries
- Drive the CEO to meetings, the airport, or offsite appointments as needed; run company errands and transport documents, packages, or materials between Feniex locations
- Prepare, proofread, and organize correspondence, presentations, and reports
- Screen and prioritize incoming calls, emails, and requests on the CEO's behalf
- Coordinate and prepare materials for leadership meetings and board meetings
- Maintain confidentiality regarding sensitive business, financial, and personnel matters
- Track action items and follow up to ensure deadlines are met
- Plan and coordinate company events, offsites, and executive visits
- Manage expense reports and reconcile receipts
- Act as a liaison between the CEO and internal departments, clients, and external partners
- Handle special projects and other duties as assigned
Qualifications
- 3+ years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership
- Valid driver's license with a clean driving record (required for driving duties)
- Excellent written and verbal communication skills
- Strong organizational skills and exceptional attention to detail
- Ability to handle confidential information with the utmost discretion
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Ability to multitask, prioritize, and adapt in a fast-paced environment
- Flexibility to occasionally work outside standard business hours
- Bachelor's degree preferred, not required
