Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers an exciting opportunity to support daily office operations, streamline administrative processes, and enhance overall productivity. Duties
- Greet visitors and manage front desk responsibilities with professionalism and warmth
- Answer multi-line phone systems promptly and direct calls accurately using proper phone etiquette
- Manage calendar appointments, schedule meetings, and coordinate events with strong organizational skills
- Perform data entry and maintain accurate records using productivity software such as Microsoft Office and Google Workspace
- Handle filing, document proofreading, and ensure all administrative paperwork is completed accurately and timely
- Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking
- Provide excellent customer service by supporting clients, vendors, and internal teams with their inquiries and requests
- Assist with office management tasks including supply inventory, equipment maintenance, and general clerical support
Qualifications
- Proven office experience with strong computer literacy across Microsoft Office Suite, Google Workspace, and other productivity tools
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Strong typing skills along with data entry accuracy and attention to detail
- Experience in customer service roles such as front desk or medical/dental receptionist is highly desirable
- Bilingual abilities are a plus to support diverse client needs
- Familiarity with office management procedures including filing systems, calendar management, and phone etiquette
- Technical proficiency in office equipment such as multi-line phone systems, printers, and basic troubleshooting skills
- Previous experience in administrative roles or personal assistant positions is advantageous for success in this role
