This role supports both the Bureau of Emergency Medical Services (BEMS) and the Time Critical Diagnosis Unit (TCD), which focuses on trauma, stroke, and STEMI systems across Missouri. As the administrative assistant, you’ll provide centralized support that ensures continuity of operations, improves workflow efficiency, and helps both programs stay coordinated. Your work is essential to maintaining service quality and supporting time sensitive initiatives across both programs.
Responsibilities - What you’ll do
- Manage the BEMS shared email inbox, routing and responding to inquiries as appropriate
- Answer and triage calls, voicemails, and inquiries through the main BEMS phone line
- Serve as a primary administrative point of contact for BEMS and TCD stakeholders
- Provide and coordinate day-to-day administrative support to BEMS and TCD staff, ensuring smooth operations
- Process financial submissions (e.g., SmartSheet, p-card documentation) in compliance with policies
- Coordinate travel arrangements for staff, including vehicles, lodging, and logistics
- Organize and support meetings including scheduling, logistics, and documentation
- Maintain organized electronic records, correspondence, and regulatory documentation for both programs
- Coordinate onboarding activities and provide administrative support for new staff
- Assist with tracking deadlines, assignments, and follow-up actions to support program priorities and ensure timely completion of tasks
- Perform other duties as assigned
The salary indicated represents a base pay rate. If the individual selected or the position is eligible for a pay differential (e.g., shift, security, or years of service), it will be added to the total compensation in your paycheck. A pay differential does not raise your base pay.
Qualifications - All you need for success
Minimum Qualifications:
- 3–5 years of relevant administrative, clerical, or office management experience (substitutions may be allowed
- Demonstrated ability to manage multiple priorities, maintain organization, and meet deadlines in a fast-paced environment
- Experience providing administrative support to multiple staff, teams, or programs simultaneously
- Strong written and verbal communication skills, with the ability to serve as a professional point of contact for stakeholders
- Experience coordinating meetings, schedules, travel, and logistics
- Proficiency with Microsoft Office applications (e.g., Outlook, Word, Excel) and general office technology
- Experience maintaining records, files, and documentation with a high level of accuracy and attention to detail
- Ability to handle sensitive or confidential information with discretion
- Experience with basic financial or administrative processes (e.g., purchasing, tracking expenses, or processing documentation)
