ShipLab is looking for an organized, detail-oriented, and proactive Projects Specialist to join our growing fulfillment team. This role is responsible for coordinating and executing a variety of warehouse projects across Inbound/Receiving, Amazon, Distribution/Wholesale, and internal operational requests.
The Projects Specialist will serve as a key point of coordination between warehouse teams, department Leads, and management to ensure projects are completed accurately, efficiently, and on schedule. This is a hands-on role that requires strong organizational skills, attention to detail, communication, and the ability to manage multiple priorities in a fast-paced fulfillment environment.
What You'll Do
- Coordinate and execute project-based warehouse tasks from start to finish, ensuring all requirements and deadlines are met.
- Review and manage project requests and Trello cards for Amazon, Wholesale, Distribution, Inbound/Receiving, and internal projects.
- Prepare all necessary materials, including labels, print tickets, packing instructions, product lists, and other project documentation.
- Coordinate with Pick/Pack, Receiving, Inventory, and other warehouse teams to ensure projects move efficiently through the facility.
- Assign and delegate project tasks to team members as needed and monitor progress through completion.
- Ensure project instructions and labeling requirements are followed accurately and consistently.
- Review work for accuracy and identify discrepancies, missing information, or potential issues before they impact the client or fulfillment process.
- Communicate project status, challenges, and changes to department Leads and management.
- Maintain accurate documentation of project progress, labor, materials, discrepancies, and billing-related information.
- Track project supplies and ensure adequate inventory of labels, packaging materials, and other necessary supplies.
- Assist with maintaining and troubleshooting project-related equipment and coordinate reordering or maintenance when necessary.
- Work within ShipHero and other warehouse systems to ensure project-related inventory and transactions are accurately documented.
- Help develop and improve processes to make recurring projects more efficient and scalable.
- Maintain a clean, organized, and safe work area while following all warehouse and OSHA safety requirements.
- Manage multiple projects simultaneously while prioritizing time-sensitive client and operational needs.
- Support the warehouse team with other operational responsibilities as needed.
What We're Looking For
- High school diploma or equivalent.
- At least 1 year of warehouse, fulfillment, logistics, or related experience.
- Previous experience coordinating projects, leading teams, or managing operational workflows preferred.
- Strong organizational and time-management skills.
- Exceptional attention to detail and accuracy.
- Strong written and verbal communication skills.
- Comfortable working independently while also collaborating closely with a team.
- Comfortable using technology and learning new software and systems.
- Experience with WMS platforms preferred; ShipHero experience is a plus.
- Experience with Trello and Slack preferred.
- Ability to read and follow detailed instructions and translate project requirements into actionable tasks.
- Ability to identify problems, communicate them appropriately, and help develop solutions.
- Ability to prioritize and adjust quickly in a fast-paced warehouse environment.
- OSHA Forklift Certification is a plus, but not required.
- Ability to stand, walk, bend, stoop, and/or sit for extended periods.
- Ability to lift up to 50 lbs.
What Success Looks Like
The successful candidate will take ownership of projects from beginning to end. They will ensure that projects are properly planned, clearly communicated, accurately executed, and completed on time.
This person should be someone who naturally looks ahead, catches details others may miss, communicates when something isn't right, and takes initiative to keep projects moving. The ability to balance hands-on warehouse work with administrative organization and communication is essential.

Pay: $19.50 - $20.50 per hour
