Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression of the organization
- Answer multi-line phone systems promptly and professionally, directing calls accurately
- Manage appointment scheduling and calendar management using productivity software and Google Workspace tools
- Handle data entry tasks with precision, including filing, record keeping, and updating databases such as QuickBooks or other office management systems
- Maintain a tidy reception area and organize documents through effective filing systems
- Assist with clerical duties such as proofreading correspondence, managing emails, and supporting administrative projects
- Support office management tasks including supply inventory monitoring and basic bookkeeping activities
- Provide excellent customer support by addressing inquiries efficiently and courteously
- Coordinate with team members to ensure timely communication and workflow efficiency
Experience
- Prior office experience or administrative support roles preferred, especially in law or other reception settings
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and productivity software
- Demonstrated experience with data entry, filing, and clerical tasks with high accuracy
- Excellent phone etiquette and communication skills; bilingual abilities are a plus
- Familiarity with multi-line phone systems and office management tools such as QuickBooks or similar platforms
- Proven organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Technical proficiency in computer literacy including typing speed and proofreading capabilities
- Personal assistant or front desk experience in Law settings ( paralegal ) is highly desirable
