Position Summary:
ROBO is seeking a highly organized and detail-oriented Project Coordinator to support the successful delivery of IT projects across ROBO's client base. This role is responsible for coordinating project activities, maintaining project plans, tracking schedules and milestones, facilitating communication, and ensuring project documentation remains accurate and up to date.
The Project Coordinator works closely with the Senior Manager of Project Delivery, engineers, clients, and internal stakeholders to keep projects organized, identify potential delays, coordinate meetings, track action items, and support project execution from kickoff through successful handoff to the Service team.
This role is ideal for someone who enjoys bringing structure, accountability, and organization to technical projects. The Project Coordinator serves as the administrative hub for Project Delivery, helping ensure projects stay on schedule while allowing engineers and project leadership to focus on technical execution and client success.
Responsibilities:
Project Planning & Tracking
- Build and maintain project plans and timelines.
- Track project schedules, budgets, and project milestones
- Log and track project risks and issues in the PSA and follow up on assigned action items.
- Monitor project milestones and planned completion dates, following up with project team members to keep deliverables on schedule.
- Coordinate with service delivery teams to confirm resource availability and reduce scheduling conflicts.
Team & Client Coordination
- Coordinate with project team members to keep deliverables on track and ensure work aligns with client expectations.
- Coordinate project activities and maintain project schedules to support timely project delivery.
- Schedule and coordinate project kickoff meetings, recurring status meetings, customer reviews, and project closeout meetings.
- Communicate project status, upcoming milestones, and action items to internal and external stakeholders.
- Maintain meeting agendas, document meeting notes, and distribute action items to project stakeholders.
- Ensure all project action items are assigned, tracked, and followed through to completion.
- Build and maintain positive working relationships with clients throughout the project lifecycle.
- Coordinate project handoffs to the Service Delivery team, ensuring all required documentation is complete before transition.
Documentation & Systems
- Maintain accurate and timely updates in HaloPSA, ensuring all project activities, notes, milestones, and progress are documented consistently.
- Keep project documentation current and accurate across internal systems, including HaloPSA, IT Glue, SharePoint, and other project repositories.
Process Improvement
- Support post-project reviews by gathering feedback, documenting lessons learned, and identifying opportunities for improvement.
- Identify recurring bottlenecks, risks, or process gaps and escalate recommendations to the Senior Manager of Project Delivery.
- Assist in developing, maintaining, and updating project templates, documentation standards, and standard operating procedures (SOPs).
- Maintain a high level of professionalism and customer service in all client and internal interactions.
Qualifications:
- 1–3+ years of experience in project coordination, project support, or administrative support (IT, MSP, or technical environment preferred).
- Experience coordinating multiple concurrent clients or projects - ideally IT projects is a strong plus.
- Familiarity with common MSP or project tools (HaloPSA, ITGlue, Microsoft 365, SharePoint) is a plus.
- Strong organizational skills with exceptional attention to detail and follow-through.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks at once, prioritize effectively, and work under pressure.
- Able to work with technical teams and grasp basic IT concepts.
- Comfortable working to defined timelines, dependencies, and escalation paths.
- Proficient with PowerPoint, Excel, document creation, and task-tracking tools.
- Strong customer service mindset and ability to build rapport with clients and internal teams.
- Self-starter who can work both independently and collaboratively.
